Organizational Structure:
The Production Assistant reports to the Director of Production
Responsibilities:
Issue PO
• Once cost is approved, receive BC from vendor with confirmed deliveries/cost/buy information.
• Review BC for accuracy. Request adjustments as needed.
• Request Classification worksheet from factory and submit to logistics team for classification
• Scan BC, cost sheet, HTS to PO admin.
• Review the PO from admin to ensure accuracy. Send to vendors for initial order.
• Follow up with PO admin to send revised PO with drops shipment POs and size b/d according to schedule on calendar.
• Forward UPC files to vendors.
APPROVALS
• Pull standards from handover binder to review bulk fabric and trim submits with manager.
• Chase vendors for submits on bulk fabric and trims submits based on due date on WIP report.
• Any issues w/ bulk that will affect delivery will be presented to Director.
TEST REPORTS/CARE LABELS
• Follow up for fabric and garment test reports with factories.
• Review and confirm that test report pass
• Request care labels with care instructions based on test report.
• Review/approve care label artwork layout.
• Update care content and instruction report on share drive for sales/ecommerce.
WIP
• Call out any issues on WIP re: discrepancies on dates
• Update info onto production chart from vendor’s WIP
• Set-up initial WIP report for each season
• Maintain weekly to include most current information from factories.
RUN REPORTS
• Microstrategy/AX reports – ATS, Open PO, etc.
• Run reports to ensure POs are closed in a timely manner.
HANDOVER
• Receive handover binder from PD and assort by category and vendor.
• Maintain a pending list for each season
• Ensure all standards are received and the binders match the confirmed BOM.
• Assist team with daily production tasks
• Answer daily emails
• File
• Distribute packages and prepare packages to send out to vendors
Qualifications:
• Bachelor’s Degree or equivalent years of experience.
• Minimum two to three (2-3) years of work experience in apparel production
• Excellent computer skills including proficiency with Word, Excel, and EBS.
• Strong time management skills and ability to prioritize workload in order to meet all objectives
• This position requires incumbent to establish effective work relationships across multiple levels and functions
• Must have strong interpersonal skills, with the ability to work as a part of a cross-functional team
• Must feel comfortable and confident in personal ability to influence and interact at all levels of the organization with demonstrated success in both written and verbal communication
• Must have excellent communication, analytical, decision making, trouble-shooting and interpersonal skills.
