Description
The Process Specialist will support deployment of Tibco Nimbus process mapping software and the management of book of record process maps for the enterprise. This role will help create an environment that promotes process thinking and continuous improvement and will empower employees to enhance the value of the service we provide to customers.
The Process Specialist will enable BMO to more effectively meet regulatory and compliance requirements and also enable more effective business improvement efforts by:
•Developing and deploying BMO process mapping best practices
•Building, maintaining, and ensuring the quality of BMO’s official book of record repository in Nimbus
•Driving adoption of the Tibco Nimbus tool and the need for process mapping
The Process Specialist will be required to work closely with business leaders, process owners, operational risk and others to ensure process maps are captured and maintained correctly. The role will be required to execute against a roadmap for the deployment of Tibco Nimbus as the standard process mapping and management tool at BMO. The successful deployment of Tibco Nimbus and the business process mapping governance approach will create the foundation from which process improvement and transformation can thrive enabling the business to reduce risk, waste, processing times and increase customer satisfaction and productivity.
KEY ACCOUNTABILITIES
Company websites Content Management & Governance
Company websitesible for maintaining and update guidelines and handbooks related to process mapping standards and best practices (i.e. Mapping Handbook and incorporating into BMO IFL Nimbus training materials, PCOE portal content, job aids etc.)
Company websiteining the business process architecture, folder structure and its connection to the Unified Bank Model taxonomy enterprise wide
Company website closely with business leaders, Process Centre Of Excellence (PCOE) Advisors and Senior Nimbus Architect to establish proper linkages of process maps to the Unified Process Taxonomy in Tibco Nimbus
Company websiteins the Unified Bank Model Taxonomy in Tibco Nimbus and works closely with Project Delivery/T&O leaders to keep the taxonomy updated in the system
Company websitets various operating groups and/or functional areas as subject matter experts for business landing pages and their connection to the Unified Bank Model Taxonomy and process maps specifically
Company websitep standard layouts for business landing pages to support various use cases across the business so end-users can interact with process mapping content (role based view, functional view, product view etc.)
Company websitems random & periodic reviews of authors to ensure adherence to process mapping guidelines
Company websites Specialist will be responsible for the maintenance of book of record maps in one or more business areas including (but not limited to) Capital Markets, Wealth, Personal and Commercial Banking, T&O, Anti-Money Laundering or Finance. Maintaining book record maps may include:
Company websiteming map changes as per process owner requests and via the Tibco Nimbus formal change request process
Company websiteng with business process owners, subject matter experts and other business leaders to ensure updates and/or changes are valid
Company websitetating the annual review/approval cycle of book of record maps and ensuring that business process owners and authorizers provide the timely signoff of maps
Company websiteting formal authorization cycles for process changes
Company websitetion of issues and/or late completion of annual map reviews and approvals
Company websiteng a high level of quality and consistency of book of record maps in the Nimbus repository
Company websiteping and maintaining an adequate folder hierarchy of process maps in Nimbus production environment
Company websiteng quality reviews/checks as req’d are completed on book of record (BoR) map
Company websiteing master copy maps and ensuring they are properly linked to the Unified Bank Model taxonomy and book of record
Company website access rights for end users to the book of record maps
Company website and run periodic reports in Tibco Nimbus (i.e. to support audits and other business needs)
Company website that process owners, authorizers and authors are kept up to date on book of record maps (i.e. due to organizational turnover etc.) The management and support required to maintain book of record (BoR) maps and any changes that may be required by the businesses to ensure maps are kept current
Company websiteping and maintaining the organization of documents, data tables, statement sets, resource libraries etc. in Nimbus
Company websitesible for ensuring any operational controls identified in Tibco Nimbus are aligned to the Independent Controls team master controls library
Company websitet & Program Mgmt Support for Process Mapping Undertakings
Company websitesible for developing and maintaining the detailed project plan as it pertains to the “Process of Process Mapping” initiatives and adjust as required
Company website support the broad communication of the “Process of Process Mapping” project plan to all relevant stakeholders in BMO including Project Delivery, Enterprise Program Mgmt Office, Operational Risk and other areas
Company websitesible for providing the requisite counsel and advice to business process mapping projects to ensure proper adherence to the mapping handbook and standards
Company websitesible for creating the proper Tibco Nimbus environment of folders and hierarchy, access etc. for business process projects and programs for the enterprise Responsible for facilitating process mapping sessions (The process of process mapping) with SME’s, owners etc. for the purposes of capturing in the single repository

Company websiteipating in providing content to a working group of Tibco Nimbus authors and administrators at BMO that meet at a regular cadence to discuss best practices, disseminate mapping standards and approaches and engage in two-way dialogue of process mapping initiatives
Company websiteins a list of active authors and administrators to ensure ongoing management of Tibco Nimbus working group
Company website be required to participate in virtual or in-class Tibco Nimbus training sessions as a subject matter expert to support training facilitators
Company websiteting the Tibco Nimbus IT Infrastructure & Application Environment
Company website regularly with Nimbus HUB IT support and IT infrastructure team (CMRI) to ensure Tibco Nimbus server performance and upkeep is satisfactory
Company website be required to raise issues with vendor directly and follow up on the closure of issues with the vendor
Company websiteipate in the decision making for system upgrades, enhancements as required
Company website and/or escalate important performance issues with senior vendor sales partners as appropriate
Company website Practices & External Benchmarking of Tibco Nimbus
Company website connected with external best practices of how Tibco Nimbus is being used and future software releases
Company websitee and research business and emerging industry trends to develop a deeper understanding of Business Process Architecture concepts and frameworks and supporting technology capabilities
Job Requirements:
Qualifications
Knowledge and Skills:
•Commerce, Business or Engineering undergraduate or graduate degree with minimum 5 years business experience, preferably with exposure to banking
•Familiar with business process design, diagnostic work, organizational design, change management, and/or project/program management and administration
•Strong analytical and facilitation skills
•Superior skills in Excel, PowerPoint and process mapping software (i.e. Visio or iGrafx). Preference will be given to candidates with experience using Tibco Nimbus mapping software
•Strong organizational skills
•Ability to achieve results in an ambiguous and dynamic team-based environment
•Able to receive feedback; is coachable
•Passionate around creatively, constructively & courageously challenging ‘the way we do things’
•Strong oral and written communication skills coupled with solid interpersonal and presentation skills.
•Experience in technical writing, cataloguing and/or librarian science is advantageous
•Financial Understanding - anticipates the impact of trends on the organization and its customers, and understands the implications for process changes. Recommends goals to meet financial targets and contributes to long-term business success.
