MISSION/ROLE:
Serves as the administrator for the ADP Workforce Now system and Comprehensive HR Services partnership. This includes coordinating pay data files, partnering with the HR Systems Administrator on the analysis and audit of time keeping records, coordination of payroll funding, and coordination of biweekly payroll processing to ensure accurate and compliant employee payroll for US and Canada employees. Resolves employee payroll issues that have been escalated from the Service Center. Partners with other ADP areas to ensure compliance with various agencies, including ADP Tax, ADP Garnishments teams. Maintains employee records, status changes and subsequent administration of tasks that are outside of the Employee and Manager Self Service tools.
CORE ACCOUNTABILITIES:
Serves as Payroll Administrator for US and Canada; responsible for the following tasks:
• Provide pay data files on weekly basis to ADP (commissions, special payments, etc.).
• In partnership with Systems Administrator, administer and approve time keeping files (Kronos) and submit to ADP on weekly basis.
• Approve preview file of final payrolls for processing.
• Coordinate funding requirements and funding transfer of each payroll with Finance via ADP Statistical Summary report and other internal tools.
• Administer ALINE card set up: welcome kits, enrollment, etc.
• Submit requests for off-cycle ALINE card payments and additional payroll runs (e.g. annual bonuses)
• Address payroll related concerns that arise during the payroll processing.
• Address employee specific payroll questions that are escalated from the HR Service Center.
• Coordinate set up of new tax jurisdictions.
• Partner with ADP on wage and employment verification requests.
• Partner with ADP Tax and Garnishments teams regarding agency notices, and ensures compliance reporting to various agencies.
• Other Administrator tasks, as required.
Serves as ADP Workforce Now Administrator; responsible for required data entry in Workforce Now system modules and coordinating with ADP specialist and/or service center on all Company required tasks:
• Maintain company and business structure data: job titles, locations, departments, etc.
• Maintain employee data and status updates, as required, in systems that are outside of the self services tools. This includes data required for new hires and review of ongoing updates; analyze employment changes to ensure any triggering actions are addressed; e.g. payroll and deduction reconciliation, final pay requirements, tax impacts, etc.
• Partner with ADP Leave Administration team to ensure accurate and compliant management of all leaves.
• Coordinate system requirements for annual benefits enrollment processes.
• Follow up on identified errors or missing transaction information and work with appropriate internal or external business partners for resolution. Identify issue trends and process inefficiencies and recommend resolutions.
• Maintains employee records (hard copy files) per established record systems and record retention requirements.
Requirements:
• Bachelor’s Degree in related field or equivalent experience.
• Minimum of three years experience in payroll administration in a large (1000 + employee), multi-state organization.
• Experience in HR administration preferred; e.g. employee data systems and benefits administration.
• Strong Microsoft Software knowledge: advanced Excel knowledge required.
• Experience with ADP payroll systems preferred.
• Personal Competencies required: detail oriented, customer service focused.
