Company Live, the live-entertainment division of Los Angeles-based Company, is dedicated to all aspects of live contemporary music performance: touring, one-offs, sponsorship, festivals, and special events with seventeen+ regional offices and over thirty-seven-state-of the-art venues. Company Live is also the largest producer of music festivals in North America from the critically acclaimed Coachella Valley Music & Arts Festival to Stagecoach Country Music Festival and New Orleans Jazz & Heritage Festival.
The Human Resources Administrator will serve as point of contact for employees throughout the employment life cycle on benefits, payroll, and Company Live policies. This position will coordinate the onboarding process for new hire, rehires, and temporary employees. The Human Resources Administrator will also aide in the management of employee relations issues and council when necessary.
Essential Duties:
1. Coordinate payroll of full time, contract and festival employees which includes auditing information submitted by employees for accuracy, ensuring all information is logged in accurately, coordinating with third party payroll company for festival and part time employees, advising on various payroll issues and inquires. Compile appropriate documents for processing. Develop various payroll reports as needed.
2. Manage employee relations situations. Field questions, document information, counsel and advise employees accordingly. Prepare performance improvement plans and counseling reports with supervisors.
3. Execute employee onboarding. Create job descriptions and online requisitions for positions, create offer letters, collect appropriate documentation and notify all relevant departments of new hires. Coordinate employee new hire paperwork. Conduct new hire orientation and act as contact for personnel questions. Manage inquires related to benefits enrollment and availability. Advise on issues related to enrollment process and times.
4. Compile appropriate paperwork related to the process of employee terminations. Execute and process paperwork and ensure that Company Live standards are met and all company property is collected. Distribute final paperwork and check to employee and collect necessary credentials and equipment.
5. Process and document all adjustments involving staff, including: promotions pay increases, data updates, and terminations. Send documentation to appropriate parties for approvals and coordinate with other departments on execution.
6. Coordinate with all supervisors and employees to ensure performance evaluations are conducted annually and appropriate bonuses are approved and processed.
7. Responsible for research and generation of various reports at the request of the HR Director as related to company processes, HR laws, and employee data trends.
8. Coordinate employee events, including: holiday party and monthly employee events as needed.
9. May manage the internship program including ensure all program information and deadlines are communicated to each department, organize intern orientation and events.
Required Qualifications:
1. A minimum education level of: High School Diploma or its equivalency (Bachelor of Arts/Sciences Degree Preferred)
2. 3 years of related work experience
3. Proficient in Microsoft Office Suite (Word; Excel; and Outlook); familiarity with creating reports in Excel
4. Highly organized individual with close attention to detail
5. Exceptional customer service skills and an ability to creatively problem solve
6. Knowledge of employment laws and
7. Experience working in an HRIS system to process payroll and data changes.
8. Proven ability to utilize discretion and best judgment when handling confidential information
9. A high-level knowledge of multi-state compliance laws and regulations
10. Strong analytical skills with an ability to apply analysis to improve or amend company policies
11. PHR designation is preferred
