The role of the Facilities
Coordinatoris a varied one, which works alongside and supports all teams with in the facilities department, and is integral in the successful running of the building. The role requires a proactive approach and wiliness to help when required. The facilities coordinator will engage on a regular basis with the colleagues the team serves and needs a positive and customer friendly attitude. Carrying out the day-to-day walk rounds for the Leavesden office this role is key to ensuring the building meets and health & safety standards set by every changing laws and legislation.
What you’ll be doing…
• Be the point of contact for the floor occupants in your allocated area, so raising concerns and awareness of changes.
• Provide first response/fix to meeting rooms and equipment/technology working closely with the IT department.
• Completing Facilities and H&S Floor Walks
• Escalate H&S concerns to the QHSE Manager & Facilities Manager
• Attend regular facilities meetings for communication updates.
• Liaise with the facilities team to raise reoccurring issues or upcoming changes
• Set up and clear meeting rooms
• Assist in set up of office areas, including furniture builds & moves
• Assist in set up of social events
• Collect and/or deliver recycling
• Maintain paper stocks for photocopiers
• Assist in the Facilities helpdesk
• Liaising with the cleaning teams
• General office administration as required including archiving.
• Supporting the team with ad-hoc duties
• To provide an exceptional service experience for the Company employees
• Work closely with all Company supplier partners to deliver service excellence
• Work closely with all HR to ensure all starter/leaver processes are met and to be the first point of contact for new clients to the business
• To assist in meeting and greeting customers and providing in room assistance as necessary
• Proactively champion customer engagement and record all communication
• Uphold the vision and values and observe the policies and procedures of Company in all actions and behaviours
• Handyman duties
• Carry out DSE assessments as and when required ensuring all additional requests are processed and delivered
• Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;
• Use all work equipment and personal PPE properly and in accordance with training received;
• To ensure compliance with all Quality, Health, Safety and Environment aspects providing a safe working environment for users and team members
• Capture, process and record all data generated throughout designated floors for MI reporting
• Help with set up of sample sales
We’d love to meet someone with…
• Previous experience in a high profile customer service environment
• Previous experience in working in Facilities Management, floor management and/or facilities helpdesk
• Computer literate with an understanding of Microsoft Office software
• Adaptable and flexible approach to changing working procedures
• Excellent organisational and administrative skills
• Confident in communication with stakeholders and Company staff at all levels within the business
• Good verbal and written English
• Attention to detail
• A friendly, outgoing, helpful and confident personality
• A willingness to change with the company requirements, and a desire to continually improve the services and facilities on offer
• Confident working on own initiative and proactive in decision making
• Dedicated and positive attitude, ability to lead a team, and flexibility within the team to support colleagues
• Confidence in communication with stakeholders and colleagues at all levels within the business
• Demonstrates enthusiasm in supporting clients and colleagues at all alevels within the business
• Familiar with QHSE procedures and legislation
