Job Summary:
The Executive Assistant supports the Vice President of Corporate Marketing. The VP of Corporate Marketing is as national position based in Vancouver. The Corporate Marketing team is located in markets all across the country and oversees sponsorship, events, market research and the marketing of Company Let’s Talk Day. The VP of Corporate Marketing is the senior representative for Company in Western Canada. The EA will support the VP and the Corporate Marketing team in day to day business and key company initiatives.
Executive Support:
• Manage general correspondence, through processing incoming calls, mail and taking appropriate action and escalation with minimal supervision
• Calendar management / Meeting coordination and booking travel
• Maintenance of a master filing system and being able to process confidential transactions in an efficient and expedited manner.
• Benefits claims and completion of monthly expenses for VP and others on team when needed
• Employs expertise in the use of desktop computer applications to create a variety of documents and presentations.
• Practices care and thoroughness when maintaining, monitoring, records and budget information.
Human Resources / Finance:
• Prepare and execute paperwork related to new hires, departures and general HR related activities
• Handles confidential transactions related to payroll, benefits and performance management
• Manages expenses; including completing invoice payments and expense management accounting, investigating and sourcing cost-effective purchases and practices
• Works closely with accounting to make sure that all approvals for the VP are taken care of in a timely manner and processes payments of contracts.
• Exercises considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature.
Office Management:
• Oversees the front office reception
• Liaise with Property Management and Security when needed
• Approves all door access for the Company Office in Vancouver through Corporate Security
Special Projects:
• Assistance in the preparation of reports and briefing documents for VP and team members in a variety of formats (PowerPoint, Excel, word documents, etc.)
• Contracting and coordination of Company Let’s Talk Day spokespeople and Olympic ambassadors
• Work with the local Company team on Employee Giving Campaign
• Local client hosting initiatives
• Attend events where appropriate
Team Support:
• Provide administrative support to the team as required
• Assist the team with ad hoc requests i.e. coordination of events, meetings
• Track vacation time in the Company system
The successful candidate will have a high level of energy with a “make it happen” attitude. An exceptional level of follow up skills and the ability to work well under pressure in a fast paced, challenging environment is essential.
Qualifications:
• 5+ years experience in an Executive Assistant role supporting senior executives and /or C-Suite leaders
• Ability to apply excellent time-management skills to prioritize and complete assignments in a manner that optimizes departmental effectiveness and contributes to organizational success.
• Post-Secondary experience with a diploma or Bachelor’s in Business Admin or Marketing / Communications field
• Proficient organization, planning, scheduling and time management skills with the ability to multi-task
• Strong communicator—both written and oral—across various roles, cultures and relationships
• Understand key components of human resources administration and how to use the information / data of the management systems and tools required to do the job
• Ability to work effectively under pressure with a strong understanding of task precedence and priority
• Takes initiative without the need for guidance
• Bilingualism is an asset
• Advanced computer skills in Outlook / Word / PowerPoint / Excel
• Ability to learn and excel in Company’s systems and tools
