As the research and analysis division of the Company, The Company Intelligence Unit (EIU) helps leaders prepare for opportunity, empowering them to act with confidence when making strategic decisions. The EIU is the global standard in providing quality, actionable intelligence to the public and private sector, assessing issues that impact the marketplace for over two hundred countries.
We are currently searching for an Executive Assistant to provide comprehensive secretarial and administrative support and assistance to the Managing Director in order to fully maximise their effectiveness and efficiency.
Accountabilities:
In this role you would be expected to:
• Execute complete confidential secretarial support with effective and proactive diary management
• Manage the Inbox, taking the initiative to action work on behalf of the MD wherever possible; prioritising items that require urgent action
• Organice comprehensive business travel arrangements with a realistic detailed agenda and appropriate papers. This often includes a complicated and busy itinerary
• Monitor overheads budget maintaining records of invoices and expenses working with Finance to plan the travel budget for the new FY. Also working with the Deputy CFO to manage other ad hoc tasks
• Process expenses for MD as well as other senior executives when required
• Manage relationships with other PAs across the business with back up cover where necessary
• Proofread any correspondence produced by the MD to ensure it is grammatically correct and follows the Company branding guidelines
• Act as ambassador for the office of the Managing Director to both internal staff and external stakeholders
• Work with the Managing Director’s peers and immediate reports based in London and outside the UK: providing support on various issues as appropriate, notably offering secretarial support when senior members visit London
• Act as a liaison between the EIU and other departments across The Company
• Work closely with a network of PAs to ensure the smooth running of the Board meeting / AGM
• Be the main point of contact for Facilities / IT regarding internal issues
• Be the point of contact for booking EIU meeting room/Media room
• Manage a team of 3 admin staff – PA to the Editorial Director, Editorial Coordinator and PA to MD, Asia (based in Singapore)
Experience, skills and professional attributes:
To succeed in this role you must have:
• Extensive previous EA experience at an executive level
• Strong computer skills, including Power Point, Word and Excel
• Fluency in English
