JOB PURPOSE
Provide a comprehensive level of administrative and organizational support to a SLT member, to ensure they are fully supported, ensuring smooth and efficient running of the department. Act on behalf of the senior executive to take action and decisions in agreed areas of responsibility.
RESPONSIBILITIES
• Through a good understanding of the department priorities and those of the Executive, is able to proactively manage requests and workload.
• To act as a “gate-keeper” of the Executive’s agenda and meeting schedule and to take decisions accordingly, while prioritizing the needs of the business.
• Extensive Diary Management – daily management of scheduling & rescheduling appointments, communicating to attendees, flexible approach to changing schedules, ensuring appointments are met and correct facilities have been booked.
• Extensive travel bookings – Applying for necessary visas for travel.
• Completing expense reports and checking expenses before being sent for approval and maintaining the upkeep of the forecasted travel budgets.
• Maintaining required records for the SLT member and department.
• Purchase Order Management as required.
• Producing general correspondence to both internal and external stakeholders.
• Maintain confidentiality and discretion at all times.
• Coordinate and/or lead adhoc projects, as requested by the Senior Executive.
• Attend relevant meetings, taking notes as requested and sending these out to attendees.
• Ensure all PAs within the department are aware of department priorities and key dates.
• Mentor and Coach all PAs within in the department in order for them to maximise they effectiveness in their role.
PERSONAL PROFILE
• Previous experience of working as a PA to Senior Management.
• Highly computer literate, particularly in Word, PowerPoint and Excel.
• Strong administrative skills.
• SAP knowledge is desirable.
• Excellent written and spoken English. Other languages would be an advantage.
• Strong problem solving skills; proactive and confident in taking initiative
• Ability to be very flexible and to re-prioritize.
• Exceptional organisational skills
• Excellent communication and interpersonal skills
• Able to establish and build partnerships at senior management level
• Able to handle multiple assignments while showing diplomacy and efficiency in a highly pressured environment.
• Ability to act quickly to last minute requests and changes
• Able to work autonomously
