The EXECUTIVE ASSISTANT COVERGIRL will provide high level administrative support to the SVP, COVERGIRL. The ideal candidate will be experienced in prioritizing and handling a wide range of administrative support related tasks with the ability to work independently, in an articulate and kind manner. Must have the ability to interact with staff, agencies, and partners in a fast paced environment, sometimes under pressure, while remaining flexible, proactive, and resourceful. Must maintain a high level of professionalism and confidentiality. Excellent communication and organizational skills a must.
Key Responsibilities:
• Assistant must always represent SVP, COVERGIRL in a friendly and professional manner, working with teams with a positive attitude to complete tasks as needed
• Maintain heavy meeting travelling schedule.
• Update organization org charts and also keep a track email distribution list.
• Ensure delivery of presentation/creative materials worldwide
• Arrange all Business Travel Air/Ground Transportation-including cars in all countries, hotels, dinner reservations as needed
• Maintain contacts on SVP, COVERGIRL iPhone and computer
• Daily and meeting lunch orders
• Manage business related finances; Submit and follow up on all expense reports
• Manage personal calendar, booking appointments; dinner reservations, car reservations, personal dinner and lunch reservations, etc
• Constant calendar management with daily updates to SVP COVERGIRL’s main tasks
• Coordinate internal, external meetings within the international network. Ensuring meetings stay on schedule
• Support COVERGIRL marketing team with ad-hoc projects as assigned
Application Pre-Requisites:
• College degree required
• Minimum 3-5 years previous administrative experience
Special skills required:
• Strong communication and organizational skills needed
• Ability to work autonomously
• Expert level written and verbal communication skills
• Attention to detail
• Flexible, adaptive and works well under pressure
• Proficiency in Microsoft Office Suite
• Concur experience needed
• SAP/Ariba experience preferred
