The Executive Assistant will support the Senior Vice President and three Vice Presidents in Global Licensing and Wholesale with all administrative needs and confidential support. In addition, this position will provide ad-hoc support to other team members as needed. The Executive Assistant will act as a key liaison between the Wholesale and Global Licensing department and all other groups/functions at the company and must be a positive representative when interacting with internal and external partners. This position requires a discrete and intuitive professional with the ability to interact professionally with high-level executives on a regular basis.
Responsibilities:
• Provide confidential executive assistant support for the Senior Vice President and Vice Presidents while anticipating and being proactive about daily needs.
• Manage and maintain calendar and phone (keeping the executive and their calendar up to date, relaying information, scheduling appointments, etc.).
• Assist in booking/planning travel for executives, and creating detailed travel itineraries both domestically and internationally (experience with international travel helpful).
• Maintain expenses utilizing Concur.
• Maintain office supplies and order requests.
• Plan and coordinate all team off-sites and larger team meetings.
• Coordinate with executive’s direct reports on a daily basis to gather information, distribute information and schedule team meetings.
• Work closely with the other assistants to schedule inter-department meetings with executives.
• Responsible for ad-hoc projects and preparing reports to be distributed.
Qualifications:
• A minimum of 4-5 years of experience assisting multiple executives in a creative environment
• Strong analytical skills and attention to detail.
• Strong verbal and written communication skills.
• Polished and professional.
• Extensive experience in Microsoft Outlook, Excel, PowerPoint, Word as well as Keynote and Pages
• Ability to interact professionally with high-level executives on a regular basis.
• Ability to work in a fast paced and dynamic environment.
• Ability to prioritize.
• Excellent follow-up skills.
• Ability to work independently as well as part of a team.
• Extremely resourceful
• Mature with an ability to manage confidential information
