Editorial Assistant - Journals, Clinical Medicine

Job Title: Editorial Assistant
Location: New York (SoHo)
Reports to: Senior Editor (remote manager)
Job Duties
We are looking to hire an entry-level Editorial Assistant to support a Senior Editor in the Clinical Medicine team. The Editorial Assistant (EA) is a key contributor to our journals program. The EA must be able to analyze incoming calls/e-mail and provide any necessary feedback and troubleshoot any problems that may arise in the Senior Editors’ absence. S/he must be flexible and able to prioritize, organize and coordinate work assignments and to determine the most efficient way to accomplish each task. Other responsibilities include: corresponding with authors/editors, preparing journal proposals and contracts, maintaining paper and electronic files, managing all accepted journal articles/issue for timely publication and updating future publication plans accordingly.
Specific responsibilities include:
Journals:
• Handle non-strategic issues to maintain scholarly journals: office point of contact when Editor is traveling, prepare new editorial agreements for Editors, update internal systems, request checks, maintain addresses Editorial Boards, etc.
• Schedule journal issues and analyze/prepare future scheduling.
• Using available databases to track journals, updating as necessary and coordinating reports for status, pricing and information required by Editor and Editorial Director.
• Other duties as required by manager.
Job Requirements
• Bachelors degree. with at least 6 months of office experience.
• Experience in either science publishing or journal publishing is preferred.
• Strong computer skills required in MS Word, and Excel; database and other software capabilities is a must.
• Excellent written and oral communication skills; thorough knowledge of office procedures including efficient filing.
• Solid spelling and grammatical skills; good inter-personal skills; ability to prioritize work assignments; ability to follow directions
• Ability to work accurately and exhibit strong organizational and analytical skills.
• Must be able to act diplomatically in representing Company.
