Responsibilities
General Purpose:
Direct and lead all aspects of the Eastman School of Music’s concert activities. These responsibilities include serving as the artistic director of the school’s concert series; providing leadership to the employees of the concert office, managing all aspects of the school’s performance venues including Kodak Hall, Kilbourn Hall, Hatch Recital Hall and various other performance and rehearsal spaces within the school; and oversee the operations of the Eastman Theatre Box office, Theatre Shop and Concessions. The Director interacts regularly with members of the general public, external donors and clients, and Eastman faculty, staff and students. This position reports to the Senior Associate Dean of the Eastman School of Music and is a member of the Senior Associate Dean’s administrative leadership team.
Specific Responsibilities:
Under general direction and with considerable latitude for independent judgment and initiative:
Artistic and Performance Administration:
Establishes artistic direction and programming for the Eastman Presents, Kilbourn Concert Series, Eastman Piano Series, Eastman Ranlet Series, World Music Series and Faculty Artist Series working closely with the Dean, other senior administrators and selected faculty members.
Makes recommendations on artist contracts for execution by ESM and works closely with University counsel.
Develops and manages budgets including, projected contributed revenue, revenue generating concerts based on artist, special events and hall availability. Formulate revenue generating/concert budgets which includes, but is not limited to; concert ticket pricing, projected revenue and expenses (as needed); coordinates and manages performances, contracts, marketing, public relations, box office, and artist management for revenue-generating concerts.
Collaborates with external consultant and Eastman Communications office to design and produce the season brochure and the season announcement, biannual school concert publication, concert marketing campaigns and other publications, marketing associated with Eastman Theatre or School events.
Directs and manages Eastman Presents, Kilbourn Concert Series, Eastman Ranlet Series, Eastman Piano Series including production, marketing, box office, public relations, artist management, and connection with faculty and artist for masterclasses.
Develops and manages relationships with series donors and potential series donors in coordination with Eastman and University Advancement.
Directs and manages the development and execution of an annual concert season including rehearsal schedules, for users of the performance venues.
Oversees the administration of the student degree lottery and scheduling process.
Negotiates contract terms with guest artists, external ensembles, festivals, and external facility use. Ensures that guest artists and other facility user’s special requirements are met.
Concert Operations:
Directs house management for all concerts and rehearsals; ensures that rehearsals and concerts are appropriately staffed. Present at concerts and appropriate rehearsals or is available on call as needed.
Supervises Director of Stage Operations and interacts with personnel in all areas pertaining to production, ensuring that the concert is visually attractive and physically correct.
Manages and oversees Theatre Shop and Concessions operations. This includes contract management, facilitating operations
Manages all aspects of the Eastman Theatre Box office: provide leadership to the box office manager, contract and relationship management of the box office software provider, oversee website maintenance, on-line sales and ticketing, patron management and customer service, box office settlements and financial oversight.
Manages the scheduling activity for all performance venues and rehearsal spaces.
Publications and Calendaring:
Overall authority for the management of school’s event calendar.
Administration:
Assists the Senior Associate Dean with the identification, selection and contract negotiations for the service providers of the Theatre Shop and Concessions and oversees their operations.
Develops and manages operating and capital budgets for the concert office, performance venues and select rehearsal spaces. This includes revenue (ticket sales) components of the performance venues, box office, theatre shop and concessions.
Represents the concert office with the Rochester Philharmonic Orchestra (RPO), Xerox Rochester International Jazz Festival (XRIJF), Fringe Festival, Gateways Music Festival, senior-level administration at the University level, community, local, national arts organizations, and higher education institutions.
Manages compliance with requirements associated with safety, security and ADA within the performance spaces.
Requirements:
Requires a bachelor's degree and 5 years’ experience in a senior level concert operations position, preferably at a music school or large arts organization; 7-10 years’ experience strongly preferred. A well-informed understanding of classical and jazz music professions and leadership experience as an arts presenter is highly desirable. Knowledge and experience with managing and leading a complex presenting venue is essential. Requires strong leadership skills, the ability to communicate effectively with multiple constituencies, to manage diverse tasks, and to meet the overlapping deadlines of multiple, concurrent projects and deliverables. Classical and performing artist presenting experience is essential. Excellent knowledge of fiscal management is required.
