Digital Project Manager
Job Details
The Digital Project Manager works as part of the dynamic Office of Strategic Marketing and Communications team for Company Health. The Digital Project Manager is responsible for ensuring integrated marketing projects run smoothly from start to finish and projects remain on time and on budget. These projects can range from smaller projects contained to one team to larger integrated team projects that could involve many of the following teams: Marketing Strategy, Multimedia Creative/Design, Content Strategy, Digital Solutions, Internal and Executive Communications, Public Relations, and Provider Relations.
This role will liaise and collaborate with various roles and department leadership daily; and ensures that everyone involved in a project has the tools, resources, time, and clear understanding of scope for all projects to which they are assigned. The Digital Project Manager will require ample experience managing timelines/workflows, prioritizing deliverables, project plans, risks, and team task management as well as ensuring team accountability to project timelines.
General Project Management
- Oversee a variety of integrated projects related to creative/multimedia design production, print production, marketing campaigns, website UX and development, marketing automation, technology integration, analytics reporting and other projects.
- Project manage different types of projects, workflows, and stakeholders/roles to ensure on-time and on-budget completion of project deliverables.
- Intake and review all project requests and work with managers and directors to resource and plan work accordingly,
- Develop resourcing plans, assessing project needs against the teams’ workload to create accurate project plans, timelines, and prioritization.
- For creative and multimedia design projects, coordinate production, including vendor sourcing, specifying project details, and printing/production specs when needed.
- For integrated and digital projects, coordinate milestones and reviews, resourcing, any licensing, and access needs, set up in project management tool, coordinate communication plan, testing plan and launch plan.
- Experience using best in class project management tools like Airtable, Workfront, Jira, Azure, Smartsheets, or other relevant project management tools to manage your teams’ workflow, tasks, resourcing, and timelines.
- Product ownership of project management tool, establishing processes for project input and monitoring, training to ensure users are updating and maintaining the work accurately and ongoing updates to the teams and leadership to ensure continued adoption and consistent and reliable information is reflected in the tool.
- Manage contracting and budget planning portion of vendor relationships in partnership with key vendor relationship managers in the department.
- Project Lifecycle
- Responsible for overseeing the entire project lifecycle, from initiation to planning, discovery, execution, launch and post launch. Manage waterfall, agile, and a blended project management methodology, identifying the appropriate type for the project/portfolio.
- Create and actively manage project schedules for medium to large scale initiatives to facilitate better project planning.
- Regularly monitor master project calendar, project planning and forecasting documents.
- Foresee potential scheduling and delivery conflicts early and proactively propose solutions for resolution.
- Run and document retrospectives at the end of new and/or large projects. Provide documentation on learning and implement any project workflow changes.
Communication
- Communicate tasks, next steps, risks, and priorities in a meaningful, effective, and succinct way to the team. Provide high level updates to necessary stakeholders and leadership.
- Facilitate problem-solving discussions when challenges arise amongst the team.
- Liaise with project owners, directors, and any resources on the project to develop and maintain deliverable schedule.
- Effectively lead and facilitate integrated status meetings with a variety of stakeholders.
- Utilize chat tool like Teams to facilitate ongoing conversation, maintain relevant project file organization and send reminders/follow ups to relevant project team members.
- Ensure all materials are properly signed off and approved by project owners or other Marketing leaders as required and close out projects to maintain a clean and accurate project management tool.
- Route invoices to budget owners and follow up to ensure timely processing, as needed.
Position Compensation Range: $76,398.40 - $122,241.60 Annual
MINIMUM REQUIREMENTS
Education: Bachelor's degree required.
Experience: Minimum of 5 years of project management experience required; preferably at a digital, technology or creative agency or a in-house marketing department.
Licensure/Certification: None required; PMP and/or Scrum certification preferred.
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
