Purpose and Scope:
Support key members of creative presentation with the maintenance and reconciliation of internal distribution list, procurement, invoicing, logistics and administrative needs.
Key Responsibilities:
• Manage procurement from start to finish including issuing purchase orders, managing change orders, expense reports and reconciling invoices for all projects and creative needs (NSO’s, Renovations, 2D, 3D, etc.)
• Manage and monitor invoice payments with Ariba, Accounts Payable, Procurement and vendors including submission, communication and trouble-shooting as needed
• Line item management of Creative Budget Tracker
• Weekly meetings to review budget and provide status updates
• Support in creation, maintenance and posting of 2D and 3D distribution, tracking and store lists
• Support trouble-shooting delivery issues on a case by case basis
• Request and monitor creative shipping reports on a bi-monthly basis
• Manage creative logistics as needed to support internal meetings, Early Store Process, Flagship doors, office deliveries and quarterly strategies
• Support in monitoring RL Central issues and forms and compile information and reports as needed
• Maintain Creative Server to effectively house and organize store execution photos, project executions and other information as needed
• Maintain vendor contact lists
• Manage travel for Brand Presentation, booking and reconciliation
• Manage in-office creative spaces and organization
• Execute ad hoc administrative tasks as needed
Requirements:
• College degree or equivalent experience
• 1-2 years in administration, procurement or similar experience
• Experience in accounting, procurement software and processes (i.e. SAP/Ariba) a plus
• Proficient/expert in Microsoft Office Suite, especially Excel
• General knowledge in Illustrator, Photoshop, Adobe Suite a plus
• Ability to manage multiple on-going projects and prioritize
• Clear and proactive communicator a must
• Ability to complete assignments and meet deadlines in a fast-paced environment.
• Ability to maintain and manage relationships at all levels, both internal and external
• Ability to work independently and in a team environment.
• Capacity to think ahead and problem solve creatively to find solutions
• Excellent attention to detail and strong organizational skills
• General knowledge of creative strategies
• Strong Analytical skills
• No travel required
