Company Digital serves as the Foundation's research, development and production team for new media technologies. We work with the national production, kids, local and education units to produce a variety of media-rich Web sites, applications, games and other digital experiences.
Position Overview
The Digital Business Manager, under the supervision of the Director of Administration, is responsible for the day-to-day management, reporting and review of financial and administrative activities for the Digital Department and its projects (ie. websites, apps, etc.) As a member of the Digital business team, the Business Manager contributes to the strategic planning and financial projection and analysis process, and helps develop and support efficient operations and standards.

Responsibilities:
• Budget Development
• Assist the Digital Department’s 7 producers with the creation of budgets for continuing projects and for proposals with outside partners.
• Projects include: Masterpiece, Company, Design Squad, Plum Landing, Next Generation Preschool Math & Science (funded by NSF), RTL PBS Kids Lab, Lidia Celebrates, Company Media Library, First 8 Studios, and Front Row Boston
• Revenue/Expense Tracking & Forecasting
• Create and maintain tracking sheets for all funded projects.
• Update tracking sheets for 15 to 20 individual projects a month, some projects have more than one code that needs to be tracked.
• Update producers twice a month or as needed, on the status of their project’s spending
• Responsible for tracking $2.5 million of the Digital Department’s $4 million in project budgets.
• Purchasing & Accounts Payable
• Responsible for the department P-Card which averages about $2,300 a month in charges to 15 different suppliers, across 20 or more individual codes from various departments, both federal and non-federal.
• Responsible for the creation of department and project purchase orders, on average 10 purchase orders per month.
• Time-keeping & Payroll
• Department time-keeper in Workday for a staff of 45 to 50 employees
• Reviews each person’s time sheet to check for coding and sick/personal/holiday allocation errors
• Makes sure each person submits a timesheet by weekly deadline
• Resource for all Workday questions
• Compliance
• Responsible for the monthly reallocation of Occupancy, Phones, Computer, and Systems Admin costs for the Digital Department’s Boston and Greenfield offices.
• These costs are reallocated proportionately across 80 different codes that staff members charge their time to each month.
• Verify that all charges are reasonable and necessary to the projects they are charged to.
• Provide support for the A-133 audits. 90% of the projects I financially manage are federally funded.
• Billing/Collections
• Responsible for invoicing work-for-hire clients and making sure all their payments are received
• Legal/Contracts
• Responsible for entering Digital contracts (project, service agreements, assumption agreements, etc.) into PIM
• Responsible for entering independent contractors into ICON and getting them set up as Suppliers in Workday
• Create service agreements for independent contractors and project contracts and usher them through Company’s legal process
Skills Required
• Minimum of five years’ experience in finance and budget management, analysis, and development.
• Demonstrated ability to work collaboratively and cultivate productive working relationships with internal and external clients.
• Experience in contract creation and administration.
• Ability to contribute to strategic and long-range project planning.
• Proven ability to generate accurate, detailed reports.
• Excellent written and oral communication skills.
• Results and detail oriented.
• Familiarity with basic human resources procedures.
• Computer fluency, especially in Excel, and financial software required.
• Knowledge of Workday a plus.
• Proficiency with databases (Filemaker Pro) and MSWord preferred.
• Experience with Digital multimedia management/production a plus.
Educational Requirements
Bachelor's degree or equivalent work experience required.
