Job Introduction
Company News Group employs approximately 900 staff in 70 international bureaux. It provides multimedia services to a global weekly audience of over 239 million in English and 40 languages around the clock, every day of the year. The bureaux react to breaking news, provide news updates and analysis and produce live programme output. In a highly competitive market, delivering to UK Licence Fee payers, UK Tax payers and commercial partners, Company News services must be reliable and consistent.
We are recruiting for a Business Coordinator who will report in first instance to the Hub Bureau Manager, Francophone Africa who is based in Dakar, Senegal for the day-to-day running of our small Abidjan Bureau’s finances and administration. You will be responsible for the financial and administrative affairs for all parts of Company News group in Ivory Coast.
The Business Coordinator will have to work with the International Operations Management and Finance teams, as well as local suppliers where necessary. You will be responsible for financial control, the administration of strategic initiatives, and best practice in the Abidjan Bureau and will work closely with the reporters and other editorial staff in Abidjan, providing proactive financial support for planning and deployment decisions, as well as providing purchasing assistance. You will also have support from and close contact with the Hub Bureau Manager, Francophone Africa and the International Manager.
Within the context above, the Business Coordinator will be responsible for timely and effective day-to-day co-operation between the Abidjan Bureau and the relevant authorities in Ivory Coast, ensuring best practice in the Company’s compliance with local regulations governing such areas as financial, tax, media and employment law.
Job Responsibilities
- General bureau administration of arranging permits, visas etc.
- Keep security watch on the office.
- Responsibility for all mail operations, fax communications etc.
- Reviewing invoices and coding appropriately for payment.
- Ordering of couriers, shipments etc.
- Managing office stationary supplies.
- Responsibility for hotel reservations and arrangements for visiting Company staff etc.
- Reviewing expenses to ensure compliance with Company expenses policy and guidelines.
- Updating and maintaining of various financial spreadsheets, using Excel, and ensuring compliance with Company policy and procedures relating to purchasing and accounts.
- Assisting in the administration of petty cash as required.
- Escalating issues to the Hub Bureau Manager, as appropriate.
- Ensuring the Abidjan Bureau complies with all relevant Company safety procedures.
- Keeping other team members informed of issues affecting them.
- First point of contact for all guests arriving for interviews.
- Organising transport for guests.
- Assisting guests in the TV and Radio studio for live transmissions, if required.
Are you the Right Candidate?
- Fluent in French and English, both written and spoken.
- Ability to prioritise, to use initiative and to work effectively under pressure without close supervision.
- Able to communicate effectively with a range of people and at all levels of the Company.
- Good planning and organising skills and the ability to prioritise effectively
- Practical knowledge and skills in using a range of packages, including Word, Excel and accounting packages.
- Ability to meet deadlines, often under pressure.
- Experience of producing timely and accurate information and reports.
- Able to work with attention to detail and accuracy.
- Experience of and ability to work flexibly and pragmatically in an operational environment.
- A lively interest in the broadcast news, online news and wider media environment and appreciation of the particular demands it may place on financial and administrative work.
- Good working knowledge of Health and Safety procedures of the Company.
