Department Profile
Corporate Services (CS) is a department within the Company's Administration division. CS offers a robust portfolio of services such as facility management, property management, Health & Safety services, travel services, mail and distribution, output management, physical security, food and hospitality, management of the Firm's long-term real estate strategy plus a number of other services.
Primary Responsibilities
Building Management
• Responsible for the physical management of the campus – currently consisting of 2 office buildings and 1,300+ staff
• Manage the building operations and ensure smooth running of the following areas:
• Hard services (engineering) including control/monitoring maintenance programmes and point of call in case of BMS- and facility alarms
• Soft services (cleaning, reception, catering, gardening, vending)
• Project management, direction of and co-operation in projects (in co-operation with Corporate Services London) as well as coordination with London functional teams
• Security
• Liaise on behalf of the Firm with the building’s Landlord(s) and maintain a solid rapport
• Manage the Firm’s leasehold agreements to ensure that space requirements are aligned to the BU’s needs. Co-ordination of space plan/CAD updates in line
• Administration of leased office space and development of a workplace strategy (space planning, office design, move and changes) in close coordination with London Strategic Planning Team and local senior management
Vendor & People Management
• Manage staff & services to implement cost control, drive service excellence based on agreed SLAs and KPIs and relationship management
• Manage an on-site a team of ~80 full time employees and contingents covering all aspects of Corporate Services including building maintenance, cleaning, catering & vending, reception, MEP, Health & Safety, procurement & contract management, security, space management and utilities
• Set staff as well as team goals and encourage efficiencies through changes to work processes. Organisation of the team’s daily tasks and responsibilities. Cover all other aspects of people management including recruitment, training, performance management
• Ensure the adherence of the labour protection law in the current version, especially ensuring labour and health and safety protection
Stakeholder Engagement
• Enhance the coordination and communications between the local COO, Business Units, Infrastructure Teams and London CS in respect of CS projects and BAU activities with BU’s staffing projections, providing regular updates to CS London
• Liaise with Finance on cost centre space and occupancy reporting. Annual budgets established with Controllers and CS in London
• Coordinate with IT to ensure that IT impact is incorporated and represented in CS projects and reporting
• Act as a general point of escalation for the office in respect of significant challenges that arise
QUALIFICATIONS
Experience and Skill Required
• Experience is a similar role (building management, engineering and building services engineering, facilities management and/or property management);
• Experience in the financial industry is preferred
• Degree in Facilities Management (Company website, Company website.) or comparable experience
• Good project management skills & experience
• Strong team player, interpersonal, relationship-building and networking skills
• Very strong staff, stakeholder and vendor management skills
• Clear and concise writing skills and the ability to handle long and complex documents
• Ability to deal with multiple issues and tasks under pressure
• Delegation skills
• Selection of relevant information and tailor communication to target audience
• IT skills (MS-Office suite, FM software, CAD)
