General Statement of Duties:
The associate director is responsible for assisting in the day-to-day direction and coordination of the intercollegiate athletic program of the university. This individual will serve on the department’s senior leadership team and provide input to all strategic departmental initiatives. The successful candidate will ensure that all departmental business operations and procedures are developed from best practices and in line with university policies. Reporting directly to the director, this professional position will have complete oversight of all NCAA compliance activities, collaborate with departmental staff and coaches, campus partners, external entities, vendors, and spectators regularly and must have the ability to prioritize projects, perform difficult tasks with precision and meet aggressive deadlines.
Duties and Responsibilities:
1. Assists in planning, organizing, and directing the intercollegiate athletic program
2. Is responsible for all financial services operations including, but limited to:
◦ All budget and financial services, including budget preparation and submission
◦ Travel and meal allowances
◦ Manages monthly ProCard transaction approvals for departmental employees
◦ Prepares other financial reports as required by the university, MASCAC, LEC, NAC, CHC and all other organizations with which the university is affiliated
◦ Oversees the collection of revenues from rentals, contracts, and other outside sources
3. Prepares and executes annual EADA and NCAA financial reports
4. Manages all aspects of student-athlete compliance, including annual NCAA reporting (graduation rates, etc.)
5. Provides direct supervision to the sports information operation
6. Provides direct supervision to the equipment room operation including: Brand management, including supervision of all activities associated with the equipment room
7. Provides game day administration as assigned
8. Assists and supports all fundraising and alumni engagement activities related to intercollegiate athletics
9. Assists in the preparation of departmental capital improvement projects
10. Participates in designing and administering assessment activities to foster continuous improvement and accountability related to areas of responsibility
11. Serves on committees as assigned
12. Utilizes Map-Works in support of student success
13. Demonstrated sensitivity to students, faculty, and staff of varying racial, ethnic, religious, gender, disability, sexual orientation, and socioeconomic backgrounds and learning styles
14. Serves as a positive role model and mentor for students and staff
15. Performs other duties as assigned
Required Qualifications:
• Master’s degree required
• Thorough knowledge of NCAA Division III rules and regulations
• Demonstrated ability to plan, organize, and supervise the work required to operate a successful intercollegiate athletic program
• Strong financial background, including knowledge of accounting procedures and budget preparation
• Excellent interpersonal and communication skills; both verbal and written
• Proficiency using and integrating MS Office or similar products into the work environment
• Ability to work a flexible schedule, including nights and weekends
Preferred Qualifications:
• MBA
• Three years supervisory experience over three or more employees
• Three years of experience in NCAA Athletics Compliance
• Knowledge of liability issues as they apply to facilities and equipment
• Current CPR / AED certification
