POSITION SUMMARY:
The Assistant Director of Operations and Processing reports to the Director of Admissions Operations and Technology and is a member of the admissions staff. This position serves as a resource for processing and technology in the Office of Admissions.
This position will have multiple responsibilities that pertain to the everyday function of the admissions department, performing a variety of routine and complex work as described below:
POSITION RESPONSIBILITIES:
• Supports undergraduate admissions operations, processing, and technology.
• Oversees assigned aspects of data management for prospective students through enrollment
• Helps maintain all hardcopy, electronic, and mail house communications including automation programming and reports.
• Serves as an expert in admissions operations with particular emphasis on Ellucian Colleague, CollegeNET Admit, DocuWare.
• Helps oversee technology implementations, maintenance, and enhancement in the admissions office.
• Acts as a project manager for new technology and processing initiatives.
• Assists the supervision of permanent and seasonal clerical staff.
• Assists with supervision of both full time and seasonal clerical staff in the admissions office.
• act as a project manager when introducing new technology and/or processes to the office.
• Supports and manages projects related to the ongoing development and enhancement of the student information system, collaborating with Pratt IT staff, outside consultants and vendors to ensure the improvement of business processes and integrity of the student data system.
• Maintains and recommends ongoing improvements to Admissions ongoing technology.
• Tests, debugs, maintains, develops and documents departmental information technology systems, applied fixes, updates, patches and software including Ellucian Colleague, CollegeNET Admit, and DocuWare as well as new technologies introduced to Company.
• Manage and maintain data systems (Ellucian Colleague, CollegeNET Admit, and DocuWare) for prospective to enrolled students.
• Works with the director in reviewing admissions office process and identifies areas for enhancement.
• Supports and projects related to the ongoing development and enhancement of the student information system, collaborating with IT staff to ensure the improvement of business processes and integrity of the student data system. Helps maintain and recommends ongoing improvements to Admissions ongoing technology.
• Participates in risk assessment activities to assess uncertainties and to anticipate barriers or gaps that may impact the success of data systems/management projects for the department’s data management systems.
• Identifies release risks and issues and works to resolve them and performs configurations and deployments of new software releases and updates to pre-production environments.
• Performs quality audits on departmental information technology functions to ensure quality standards are being met.
• Provide guidance to admissions department end users on Ellucian Colleague, DocuWare and CollegeNET Admit application uses and operating parameters, including assistance in accurately updating, validating and maintaining system data.
• Coordinates with vendors and IT staff to resolve operations issues.
• Analyzes the needs of Admissions personnel and prospective students and develops, maintains, standardizes, or revises technical documents, user guides, release notes, help systems, document libraries, and documentation portals.
• Provide admissions staff with reports and queries that are specifically related to Admissions area on an as needed basis.
• Write, modify and generate ad hoc queries and reports within the Business Objects and ASR reporting tools.
• Assist with the identification and definition of new reporting requirements.
• Designs queries, and provide business process recommendations to facilitate more accurate data extraction for Business Objects and ASR reporting tools.
• Assists Information Technology staff involved in designing and maintaining data or database systems related to Admissions.
• Communicates and coordinates with members of Elucian functional leadership team, outside vendors, and IT staff to insure appropriate integration of processes and modules across Campus Solutions.
• Act as a liaison with the Technology offices on campus and assists in the implementation, administration, and maintenance of Admission’s system security standards, policies, and procedures.
• Instructs Admissions users on information security threats and security procedures and the proper usage of information technology resources.
• Assists with IT department security assessments and audit reviews and in the implementation and enforcement of security assessment and audit procedures as required by department and in conjunction with IT department.
• Uploads application information, test score and other admission data into the student information system.
• Ensures data is processed correctly.
• Identifies issues with the data import process and then works IT staff and vendors to resolve issues.
• Attends and participates in professional group meetings; stays abreast of new trends and innovations. Serves on campus comities as needed.
• Supports the admissions department at events, including occasional evening and weekend events.
• Performs other related duties as assigned.
QUALIFICATIONS:
Education:Bachelor’s degree.
Experience:2-4 years of progressive, hands-on admissions and higher education experience preferred.
Knowledge and Skills:
• Prior experience with Ellucian Colleague, CollegeNET Admit and DocuWare document imaging a plus.
• Must have strong communication, organizational skills and attention to detail.
• Ability to analyze admissions processes and data to enhance enrollment.
• Ability to work independently and as part of a team with other offices.
• Willingness to work evenings and weekends as needed.
• Proficient in the use of computer programs (Microsoft Office) and student information systems.
• Must have the ability to communicate effectively with a diverse, as well as demonstrate inter-cultural competence with an understanding of the dynamics of diversity in higher education.
