Operations
Operations provides world class integrated planning, publishing support, printing and logistics services to its internal and external customers. It supports Company by delivering cost efficient and innovative publishing and supply chain services and solutions.
Logistics
The Logistics team ensure a robust, efficient, cost effective, flexible and sustainable route to market for all of Company’s newspaper and magazine products. The team builds and adapts our delivery functions dependant on the requirement and operates a full range of ancillary Logistics service. The function also looks to enable sustainable commercial growth through selling its services to third party customers.
Allocation Team
The Allocation team are responsible for utilising the available copy each day to conduct the most effective allocation across all retailers in the UK and Ireland, inline with the business strategy. The team will work with other areas of the business to ensure they have information necessary to feed their decisions and capture sales opportunities from events, editorial and marketing activity.
In addition the team perform an important role in influencing and educating other areas of the business based on their knowledge and detailed analysis. They will support the business in forming strategic decisions, facilitating the logistics network and adhoc projects.
Summary of the Role
This role provides a key service to the business, managing retail level allocation on a daily basis for designated products across the UK and Ireland. The objective is to influence and utilise the available supply to achieve the business strategies around availability. The primary responsibility is setting the retail level allocation for the relevant product(s) to maximise sales / profitability. Attention to detail and a continuous improvement ethic are essential to ensure performance is consistently seen as world class.
Key Responsibilities include:
• Manage the available forecasting parameters and validations on a day-to-day basis to produce the suggested retail supply figure
• Manage Seasonal requirements to adjust supplies inline with expected fluctuations in demand at a detailed level
• Manage targeting of copy to maximise marketing or editorial sales opportunities
• Conduct daily processes to ensure accuracy of allocations before release to stakeholders
• Review performance of sales driving activity to determine sales benefits and allocation efficiency, driving future decisions
• Share knowledge of sales performance and value of allocation with key stakeholders
• Input to the national and regional supply figure decisions to help facilitate allocation requirements
• Conduct adhoc analysis, investigations or trials as required
• Provide support and holiday cover for other members of the team
• Maintain required settings in Company allocation system to allow the running of daily tasks and integration with other internal & external systems
• Co-ordinate with NUK Logistics team on wholesale requirements and performance
• To demonstrate professional and responsible behaviour, consistent with the role and in order to maintain the department’s reputation for the highest levels of service
• To investigate and conclude queries received from internal or external stakeholders
Management and Leadership
• Diplays ownership of the allocation requirements for relevant title(s)
• Able to influence stakeholders to provide timely and detailed information required to optimise allocation
• Escalates any outside or technical influences having a negative effect on the allocation performance
• Proactive with continuous improvement ideas to help allocation performance or team efficiency
• Able to provide guidance to colleagues covering allocation on other titles
Functional and Professional Knowledge
• Experience of detailed demand planning is essential, preferably within the newspaper industry
• Excel skills are required to be at a strong level
• Ability to utilise available reporting tools to efficiently and accurately produce required reporting to feed allocation decisions
• Analysis skills and ability to identify key messages from data
• Use of Gmail and googledoc / drive functionality
Managing Relationships and Communication
• Is a clear communicator, able to relay required actions to internal and external teams
• Able to develop trusted relationship with stakeholders in supply setting process and provide detail behind supply requirements to facilitate optimum allocation
• Develops strong relationships with marketing stakeholders, sharing the knowledge we have and ensuring good information is being received in to the team
• Able to communicate key highlights from analysis in an impactful way
• Provides detail behind decision making
• Ensures information is shared across Operation Services and Logistics to allow planning for upcoming scenarios
Problem Solving
• Is able to use the knowledge gained from experience to apply to future scenarios and determine likely sales profiles
• Able to review previous performance and determine the most effective way to apply additional copy for selected activity
• Able to review performance analysis and identify areas for improvement
• Able to identify where system forecasts are not working effectively and escalate as required
• Determine necessary contingency processes to achieve the best performance when faced with technical difficulties
