Provides administrative support to the Vice President and Executive Director of Creative Services. Creative Services consists of over 40 associates responsible for conceptualizing, designing, and producing short form interstitial promotions and branding materials for Starz Corporate and Starz Linear and non-linear channels.
• Provides phone coverage for the VP and Executive Director with the ability to prioritize calls, texts, emails, etc. and responds independently when necessary.
• Manages VP, Executive Director, and department calendars; maintains VP and Executive Director contacts, schedules meetings and conferences. Prepares agendas for meetings.
• Works with Travel department to arrange travel for VP, Executive Director, and other department staff.
• Works with facilities to coordinate all building maintenance issues and office/cube relocations for Creative Services employees, contractors, new employees and interns. Maintains office supply inventory by checking stock to determine inventory level; anticipates needed supplies; places, expedites and verifies receipt of supplies.
• Monitors department budget; processes all expense reports for department ensuring correct coding in Concur, processes monthly accruals by due date, processes all voice over invoices, contract labor invoices and any other invoices requested. Makes all necessary entries in Aprimo budget tracking system.
• Helps coordinate scheduling, budgeting, etc., for live promotional shoots.
• Coordinates all award entries / submissions for Promax, Mark Awards, Key Art Awards, etc.
• Helps facilitate video encode requests.
• Assist in the management of premium catalog for affiliate and company.
• Tracks department attendance. Approves weekly timecards for management team in ADP.
• Coordinates all department events and team building initiatives.
• Manages the department’s subscriptions and memberships.
• Participates in companywide volunteer initiatives.
Required Experience:
◦ High school diploma or General Education Degree (GED) required; minimum two years experience in office Administration and/or training; or equivalent combination of education and experience. College degree preferred.
◦ Proficient in all Microsoft Office applications including, Outlook, Word, Excel, and PowerPoint.
◦ Excellent verbal, written, organizational and communication skills.
◦ Incumbent must have independent problem solving skills, strong attention to detail and ability to prioitize work in a fast paced environment while meeting deadlines.
◦ Basic understanding of how to manage a department budget.
◦ Knowledge of Concur, Aprimo, ScheduAll, A/X, Citrix, and / or Lync helpful.
◦ Advertising/Design agency experience a plus.
◦ Television/Entertainment industry experience a plus.
