POSITION OVERVIEW:
Principal Objective:
Provide support to the Senior Vice President of Product Development and the Vice President of Global Brand Supply Chain and their respective teams. Responsible for both product development and supply chain tasks specific to implementing new product launches. Candidates must be experienced, flexible, self-motivated, professional and have the ability to prioritize and manage multiple tasks efficiently and accurately.
PRIMARY RESPONSIBILITES:
Responsibilities:
•Manage SVP’s and VP’s calendars and organize a high level of meeting requests.
•Provide the needed administrative support to ensure effective and efficient meetings including necessary materials, audio visuals, etc.
•Prepare market research reports, presentations, and competitive reviews for branded and corporate projects.
•Monthly organization of departmental open commitments and accruals for financial reporting.
•Oversee and organize department calendar for Product Development team.
•Organize meetings and assignments with SVP and direct reports to ensure efficient project management via meetings and follow up
•General administrative responsibilities including mail, phone, filing and copying.
•Make all travel arrangements; issue detailed itineraries. Process expense reports.
•Schedule all department meetings including conference rooms / lunches.
•Coordinate all departmental No Charges
•Order supplies for department.
•Coordinate department moves, phone and computer moves/changes/problems.
•Maintain department product closet and product files.
•Create Power Point presentations for key meetings: Strategy Meetings, Sales Meetings, R&D Meetings, and Corporate Meetings.
•Issue purchase orders, expedite deliveries, and coordinate cross-charges for Press Preview samples and other sampling programs.
•Handle all quality related inquiries; prepare documentation, gather product samples and forward to Quality Assurance for review. Once report is issued, communicate findings to appropriate individuals.
•Assist with the review and establishment / updating of Production standards with Product Development team
•Assist GBSC with coordinating and tracking the China registration samples.
•Maintain Global Regulatory Report and issue quarterly updates.
•Manage reports for departmental R&D development project budgets.
Qualifications
•2+ years administrative experience in a corporate environment providing administrative support at an executive or senior executive level.
•Strong self-starter who requires minimal supervision and direction to complete assignments; excellent time-management and follow-through skills are required.
•Mature, professional with excellent communication skills; must be highly organized and strong team player.
•Ability to multitask, understands priorities, and balance workload in a fast-paced high-pressure environment.
•Must have a high degree of flexibility and be able to handle matters of a confidential nature with professionalism and discretion.
•Computer skills: SAP, Microsoft Outlook, Excel, Word. Must have strong PowerPoint formatting skills for presentation creation.
