Overview
We are seeking an experienced executive Administrative Assistant who will take pride in providing support in a team environment to our Executive Buying team across the Company, Kid’s Company, and Lady Company divisions. Building a collaborative reputation and having the capability to balance responsibilities while supporting multiple leaders with a high level of professionalism and confidentiality is needed. Interacting with staff at all levels in a fast paced environment while remaining flexible, proactive, and resourceful is crucial to this role. Having an expert level of written and verbal communication skills, a proactive attitude and strong attention to detail are equally important in this highly self-sufficient and rewarding position.
Responsibilities
• Responsible for calendar management, requiring interaction with both internal and external executives, assistants and vendors to coordinate a variety of meetings.
• Arrange travel schedule and reservations for General Managers, VP GMMs, VP DMMs, and team across the FTL, LFL, and KFL divisions and manage travel budget for the department.
• Maintain records, both electronic and paper filing systems.
• Coordinate and organize various company events as needed and department functions including, Meetings, Conference Calls etc.
• Manage communications; which includes answering phone calls, managing mail, taking messages or fielding/answering routine and non-routine questions.
• Ability to maintain high level of confidentiality and exercise discretion.
• Maintain expense reports in Concur for the General Managers, VP GMMs, VP DMMs, and team across the FTL, LFL, and KFL division.
• Manage departmental office supplies for the team.
Qualifications
• Minimum 3 years of executive administrative experience
• A comprehensive knowledge of computers and experience in Windows, including MS Word, Excel and Power Point is required
• Ability to work with vendors and co-workers in a professional, respectful, cooperative and courteous manner
• Demonstrate positive, customer service and team-oriented demeanor
• Ability to communicate at a high level with all levels of management with an inclusive attitude
• Must be flexible and able to adapt quickly to changes while maintaining high organizational skills
