Job Summary
Provides administrative support to a department and reports into a Manager or Manager of. Supports the department on a variety of projects including scheduling meetings, making travel arrangements, and handling purchasing for the department. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure success in this multi-faceted role.
Major Areas of Responsibility
• Provides diversified administrative support for the department.
• Responsible for extensive Outlook calendar management.
• Orders supplies, arranges meetings and coordinates travel arrangements as necessary.
• Create purchase orders and work directly with vendors.
• Track invoices.
• Maintain Excel spreadsheets and manage documents in SharePoint.
• Coordinates and prepares daily, weekly, monthly, quarterly and year end reports.
• Handle global times and be willing to meet challenges and provide solutions.
• Special Projects as assigned.
Requirements
• Must be able to travel 25%
• Associates degree in related field or 5 years of experience as Administrative Assistant supporting multiple leaders in a fast paced environment
• Excellent Communication, organizational, and interpersonal skills
• Strong computer skills, specifically MS Office
• Must be an advanced Excel user (write formulas and use pivot tables)
• SharePoint and InfoPath experience highly preferred
• Strong attention to detail and ability to handle multiple priorities
• Must handle confidential information appropriately & professionally
