Purpose and Scope:As an Executive Assistant, you will perform diverse administrative duties and functions requiring confidentiality. You should have excellent organizational skills and the ability to effectively handle multiple priorities. You will need to adapt procedures, processes and techniques to the completion of assignments. Duties will expand to include coordinating meetings, coordinating travel arrangements, ordering and maintaining supplies, submitting expenses and/or review incoming correspondence. In addition, you should exercise independent judgment, escalating serious or unique problems to the appropriate parties.
Key Responsibilities include but not limited to:
• All general administrative tasks including calendar and telephone management, expense reporting, responding to basic requests
• Manage department calendar on a daily, weekly and monthly basis, including monitoring key milestones and agendas
• Ensure executives’ Contacts and other key information is kept up to date
• Follow up with executives’ teams or colleagues on outstanding information or materials as requested
• Coordinate all travel arrangements with careful oversight of internal Travel department who may not always spot errors or issues in an itinerary; ensure travel plans are aligned with others on the same trip to the extent possible
• Proactively develop ways to make the executive’s time as effective and smooth as possible
• Responsible for creating meeting agendas, deck preparation, and organizing recaps
• Prepare for and attend weekly and monthly functional staff meetings
• Attend necessary meetings and generate weekly, monthly, and business recaps/reports for the team
• Schedule all international and domestic travel arrangements for executive
• Coordinate departmental trainings and executive events
• Partner with Finance to monitor budget as needed
• When necessary maintain confidential employee records, including: vacation/personal time tracking and performance management documentation
• Assist in coordinating internal training curriculum/library
• Constant ability to be precise and be a step ahead with creative problem solving
• Monitor office supplies and reorder as needed
• Assist in Special Projects as needed
Requirements:
• Bachelor’s Degree
• Minimum of 1 to 3 years’ experience in fashion / apparel or accessories highly preferred
• Strong problem solving skills
• Excellent cross-cultural, cross divisional, cross functional communication and partnering skills
• Detail and solution oriented
• Ability to prioritize and multi-task
• Maintain a fast paced environment
• Computer proficiency in Microsoft Excel, Word, Power Point, Outlook
