The Deputy Athletic Director, Internal Affairs (Deputy AD) at the University of Delaware is a valued member within the University and Department of Intercollegiate Athletics and Recreation Services (DIARS), upholding and embracing the departmental mission of “Inspiring Greatness Together.”
Under the limited direction of the Athletic Director, the Deputy AD, will act as the Chief Operating Officer and oversee the Intercollegiate and Recreation Services ongoing internal operations, and maximizes resumes and would be responsible for the internal efficiency of the department. This includes: short and long strategic planning, direct oversight of the budget and business office, human resources, capital projects, facilities and operations, information technology, and analytics.
The Deputy AD is a member of the Director of Athletics & Recreation Services Senior Leadership Team. This group is comprised of the individuals who are responsible for all the Department of Athletics and Recreation Services strategic initiatives and short and long range planning.
The Deputy AD is responsible for fostering a commitment to diversity and inclusiveness throughout all levels of the organization, including but not limited to, staffing and programming.
Interactions are extensive, both within and outside the department, including Senior University Administration (e.g., President, Provost, EVP, VP & General Counsel, etc.), Board of Trustees, University offices of the Registrar, Student Financial Services and Admissions, all members of Athletics and Recreation Services, institutional representatives from visiting institutions, outside group representatives, parents, alumni, fans and general public.
MAJOR RESPONSIBILITIES:
Strategic Planning and Leadership
• Serves as a thought-partner with the Athletic Director, including leading the short and long range planning of strategic initiatives and providing counsel as needed while maintaining complete confidentiality.
• In partnership with other departments, identify and lead team-wide process improvements in the development and implementation of an internal engagement and operational strategies
• Build and maintain supportive and productive working relationships and partnerships with leaders and staff across the University; listen for understanding; maintain objectivity; act as a business partner in key human resources decisions; provide appropriate feedback.
• Supervises the Director of Talent Management, Senior Associate Athletic Director Facilities, Operations, Guest Relations and Capital Projects, and the Associate Athletic Director, Business Affairs helping manage workload and monitoring career development and progress toward annual objectives, as well as long-term goals.
• Manage the administrative team, with an emphasis on setting strategy, identifying team-wide process improvement, leading projects.
Budget and Administration
• Oversight of the Athletic Department & Recreations Services budget. This includes, but is not limited to: Develop and manage the department’s financial strategic plan and multi-year budget forecasts as they apply to strategic initiatives and capital projects. Lead the annual financial planning process, ensuring alignment with long-term strategic goals and oversee management of the $34+ million budget including operating budgets and salaries.
• Responsible for the review and negotiation of major contracts for vendor agreements. Maintain effective working relationships with vendors.
Finance and Performance Measurement
• Partner with departments to develop management and reporting tools to direct planning objectives, measure program effectiveness, and forecast performance. Work with staff responsible for data gathering, quantitative and qualitative analysis and reporting.
• Partner with other departments in analyzing the short and long-term use of financial resources. Evaluate use of benchmarking strategies, performance measurement indicators, and financial modeling to determine the effectiveness, outcomes, risk, scalability, and measurable impact.
• Oversight of camp-related NCAA compliance, facility assignments and coordination of camp-related Athletics Business Office functions.
Analytics, Data Management and Reporting, and IT
• Provides vision, strategic direction, and ongoing administration of a comprehensive business analytics program, providing data-driven intelligence to aid in determining the Athletic Department & Recreation Services goals and supporting revenue generation.
• Devises and builds data products in partnership with the Business Systems Analyst to aid in reviewing performance measures and tracking of goals for short-and long-term strategies (examples: dashboards, forecasting).
• Initiates and leads the Athletic Department’s efforts for data collection, maintenance and data cleansing in databases. Regularly participates in activities and groups related to database and system improvements. Investigates avenues for automating as many of these processes as possible.
• Create an Information Technology program that provide strategic support to the Athletic Department and Recreations Services, by identifying opportunities to utilize technology in order to create efficient, effective and transparent ways to work across the department and university community.
Talent Management
• Oversee the Talent Management Team, and development of policies, best practices and programming to support a culture of engagement and high productivity.
• Partner with the Director, Talent Management to lead the annual merit/market review process for salaries as well as a learning program for staff and coaches.
Facilities & Capital Projects
• In partnership with the SR Associate AD of Facilities, Operations, Guest Relations and Capital Projects oversee all Department of Athletics and Recreation Services capital projects for the Bob Carpenter Center, Delaware Field House, Suzanne and Stuart Grant Stadium, Bob Hannah Stadium, Fred Rullo Stadium, Softball Stadium, Fred Rust Arena, Gold Arena, Carpenter Sports Center, Outdoor Aquatic Center and all Outdoor Fields/Courts to include new construction, renovations, and maintenance and/or repair projects.
QUALIFICATIONS:
• Bachelor’s degree with eight years of experience as an administrator including financial management and staff supervision, or equivalent combination of education and experience. Advanced degree in accounting, finance, or business administration preferred.
• Familiarity with NCAA rules and regulations.
• Ability to work with people at all levels.
• Ability to lead others while also assisting with the work they are leading.
• Demonstrated knowledge of accounting and payroll procedures.
• Proven ability to work effectively in a complex environment.
• Proven expert knowledge of Microsoft Office and Microsoft Excel.
• Proven ability to maintain highly confidential information on a variety of sensitive subjects.
• Proven ability to analyze data, problems and develop realistic solutions.
• Ability to prioritize work for self and others, strong organizational and interpersonal skills, and adeptness at handling detail. Ability to meet deadlines and work under pressure.
• Excellent written and oral communication skills.
• Experience in problem resolution highly desirable.
• Proven effective relationship-building skills.
• Knowledge of human resource practices.
• Experience using M-Pathways, Business Objects and Concur.
