SUMMARY:
The Senior Associate Athletic Director for Finance, Administration, and Planning will report to the Director of Athletics with dotted line reporting to the Executive Vice President for Finance and Administration.
Position provides Department of Intercollegiate Athletics’ (DIA) long range budgetary planning and fiscal forecasting; provides vision, strategic direction, and ongoing administration of comprehensive business analytics program, providing data-driven intelligence to aid in determining the Athletic Department goals and supporting revenue generation. Oversees the strategic planning process for the Department. Administers Human Resources (HR) management for the Department consisting of 220+ full-time employees including the recruitment, appointment, compensation and evaluation processes. Oversees Information Technology (IT) Department. Oversees financial responsibilities associated with Department facilities, capital projects, and master plan.
Position will promote and maintain a strong internal control environment and compliance with University policies; will be responsible for the development and monitoring of the Department’s annual operating budget (~$75m) and its related Rutgers University Foundation funds supporting Athletics. Reviews DIA agreements and contracts, as well as, assists in negotiations as required. This position works toward a comprehensive plan that integrates the management of the business administration of DIA and Rutgers University, an NCAA Division I school and member of the highly competitive Big Ten Conference.
Strategic and Capital Planning
DIA will become full participating member in the Big Ten Conference in 2021. This position works directly with the Director of Athletics, Deputy Director of Athletics, and Executive Vice President for Finance and Administration to develop a long-term financial plan for the DIA.
• Develop a long-term strategic financial plan for the department that addresses its operating budget, reserves, anticipated gifts and endowments, debt service and future capital needs.
◦ Manage the use of DIA gift funds to maximize the availability of unrestricted gift funds and endowments enabling the department to support future capital projects and its debt service.
◦ Collaborates with Senior Associate Athletic Director for Strategic Marketing and Communications to develop strategies to grow revenue.
◦ Develop strategies for financing capital projects for the EVP of Finance and Administration and EVP of Strategic Planning and Operations.
• Reviews and makes recommendations on departmental business agreements and contracts from a financial perspective and assists in negotiations as required such as employee contracts, game guarantees and conference contracts, stadium and arena contracts, corporate sponsor agreements, and Football Bowl agreements.
• Develop and implement strategies and policies for entering into new business agreements that will impact the entire department.
• Partner with other departments in analyzing the short and long-term use of financial resources. Evaluate use of benchmarking strategies, performance measurement indicators, and financial modeling to determine the effectiveness, outcomes, risk, scalability, and measurable impact.
• In conjunction with the Director and Deputy Director of Athletics, plan, create, and implement DIA’s long – and short—term facility and capital program budget planning.
◦ Obtain cost and timing estimates and interface with campus entities including the Director of Athletics on above projects to ensure overall budget compliance.
• Represent DIA with key Capital Programs and University Facilities administration to review project budgets and expenditures as it relates to construction planning and progress.
• Facilitate budget models for upcoming projects.
Financial Operations
• Develops and ensures adherence to budgetary policies and procedures. Establishes and maintains appropriate internal control safeguards.
• Liaison and main contact with internal and external auditors. Prepares and certifies financial statements and NCAA financial reports of the Department.
• Ensure accurate and timely processing of financial transactions including payment of vendors.
• Serve as the main contact/liaison with procurement on contractual negotiations including preparation of RFP’s.
• Review and make recommendations to Director on all contracts with a fiduciary impact. These include multi-million dollar contacts with DIA’s marketing partner and apparel sponsor as well as concession/food services partner.
• Work closely with the Senior Assoc. AD for Sports Administration or Senior Women’s Administrator (SWA) in a cooperative and mutually supporting manner to ensure that the principles of gender equity, consistency and programmatic excellence are embedded in all Rutgers varsity sports programs.
Human Resources
• Administers Human Resources management for 220+ full-time employees including:
• Oversight of employee recruitment, appointment, compensation, and evaluation processes. This includes, but not limited to:
◦ Develops and implements department policies and procedures consistent with University Human Resources regarding employee classification, attendance and leave, and performance evaluations.
◦ Ensures compliance with Fair Labor Standards Act.
◦ Serve as liaison to HR for benefits, workplace issues, and employee relations.
• Collaborate with University HR to create and implement approaches for Talent Development of DIA staff.
• Identify and implement approaches for creating a culture of customer service to DIA staff and coaches by fostering an environment of open and honest communication across the department.
Analytics, Data Management and Reporting
• Provides vision, strategic direction, and ongoing administration of a comprehensive business analytics program, providing data-driven intelligence to aid in determining the Athletic Department goals and supporting revenue generation.
• Devises and builds data products to aid in reviewing performance measures and tracking of goals for short-and long-term strategies (examples: dashboards, forecasting).
• Create and generates various data analysis and reports.
• Synthesizes information and disseminates results through written reports, maps, charts, graphs and presentation using the best practices of effective communication and persuasive data visualization.
• Oversees the creation and maintenance of predictive models to generate leads for the ticket servicing, digital, and development teams.
• Designs and implements a data management and integrity process specifically for the databases in partnership with other department team members.
Information and Technology
Responsible for the integrity and security of the entire computer network connecting all physical locations and all file servers throughout the DIA facilities on campus. This also includes the interfaces with the University systems for payroll, purchasing, the general ledger, as well as coordinating network and information systems applications with other campus administrative units as needed.
• Provide leadership and direction for the Information Technology program that provides strategic support to the Athletic Department, this includes but is not limited to:
◦ Identify opportunities to utilize technology in order to create efficient, effective and transparent ways to work across the department and university community.
◦ Evaluate current software programs and identify areas for improvement of functionality.
• Work in partnership with the University’s OIT team on appropriate projects.
• Review and approve a long-term technology plan to include hardware replacement and software upgrades.
• Manage and set policy regarding the use of personal computers, laptops, cell phones, tablets, and email, and insure that internal policy is in compliance with University policy.
• Oversee the development and implementation of all database applications in support of DIA operations including review and prioritization.
Ticket Office Liaison
• Work in collaboration with the Senior Associate Athletic Director for Strategic Marketing and Communications.
• Responsible for handling internal processes and reporting as needed by the business office to maintain accurate reporting for the Director and Deputy Director of Athletics.
• Coordinate and communicate policy and event needs between departments.
Education, Experience, Qualifications & Skills Required:
• Requires a bachelor’s degree; master’s or law degree preferred.
• Experience in one of the following fields expected: accounting, finance, business administration or a related fiscal field plus ten years’ experience of which five are at a senior level, preferably in an athletic setting.
• Possess proven skills in budget preparation and fiscal management, and the ability to prepare financial statements and financial analysis reports for the Director and Deputy Director of Athletics.
• Strong knowledge of accounting policies, standards, and procedures, cost analysis techniques, ability to develop financial plans and manage resources, and knowledge of accounts receivable procedures and practices are also required.
• Handle sensitive information in a confidential manner;
• Preferred to have experience in athletic facility financial planning and/or capital project planning and execution.
• Make administrative/procedural decisions and sound judgments.
• Communicate effectively, both orally and in writing.
• Reason, recall, analyze and organize information in order to make substantive and sometimes complex decisions reaching reasonable conclusions within the scope of authority.
• Comprehend potential issues and address them before they become problematic.
