We're looking for a Vice President to be part of a growing global Tenant Coordination department who is a collaborative professional and possesses the expertise necessary for this role.
As a Vice President, you will be an essential member of URW's Tenant Coordination Team. You will be responsible for coordinating key aspects of the operating centers and/or development projects to open our Tenants within designated cities or region. The Vice President of Tenant Coordination has the ultimate responsibility for delivering and implementing the URW Tenant Coordination Process and leading the Tenant opening coordination efforts for Operational or Development Tenants within a portfolio of shopping centers, including in-line mercantile shops, restaurant/hospitality units and common area kiosks.
This position will serve as a key strategic leader within Tenant Coordination, supervising functional experts in regards to Development Project Delivery, Tenant Coordination Process, Tenant Design Criteria, Tenant coordination “Rules and Regulations , base building infrastructure & Jurisdictional/Permitting/Inspection Requirements and will act as the Landlord’s liaison to coordinate with the Tenant , Leasing, Center Management, Development, Design and Construction to assure each deal and Tenant opening represents the company’s interest and meets or exceeds the RCD (rent commencement date) through a core team.
To ensure URW provides optimal experiences, this person's key responsibilities will be:
• Develop and sustain a team of Tenant Coordinators, Retail Design Managers and Retail Plan Managers in a development project and region to deliver high quality stores in the shortest period of time from LOI through store opening. The candidate must work with their team to implement procedures and provide guidance and motivation to exceed company expectations. The candidate may also manage projects in addition to managing a team and should act as an example to their team.
• Working with regional leaders in Leasing, Development, Construction and Center Management to implement overall business vision, leasing strategies, and ensure the Regional Tenant Coordination Team meets the annual goals.
• Coordinate with Design, Construction, Leasing and Center Management on scope due-diligence (Pre-LOI Leasing Requests) to verify existing conditions, complete feasibility studies, identify applicable Landlord work scopes, produce requests for proposals to obtain cost estimates and bids, utilizing appropriate consultants where necessary to determine the feasibility of a prospective Tenant fit out in our centers (i.e. converting multiple retail spaces into a restaurant Tenant).
• Facilitate and support Leasing effort during the “deal making” process to ensure that proposed Tenant locations are feasible and align with the overall center strategies. Coordinate with Leasing on prospective Tenants and develop conceptual budgets and schedules.
• Prepare and adhere to project schedules to ensure Tenants are tracking toward a “base line schedule” to meet all critical milestone dates. Work with our construction management + center management teams to meet our space delivery date per the deal sheet.
• Escalate significant issues (cost overrun and / or schedule delay) to business partners and find resolution necessary early on to optimize outcomes.
• Provide direction to Tenants and their design and construction teams on center specific information, jurisdictional information and for quick conflict resolution.
• Provide store planning and design guidance to the Tenant’s team when necessary. Expedient and effective communication is essential. Personal interaction and phone calls are preferred over email.
• Develop and execute a strategic plan, resulting in on time store openings with a continued focus on the team performance.
• Efficiently track and/or manage the scheduling of Tenant planning and permit submissions to all applicable local jurisdictional agencies and provide best practices that can be implemented for immediate process improvements.
• Over-see day-to-day projects management success of all tenants within designated region.
• Manage data entry process on a weekly basis to report current actual dates for various milestones that are tracked in the URW leasing software (lease signed, space delivery, drawings received/approved, permit status, construction start and open). Identify risks and problem solve for resolution, across business and with tenants.
• Supervise the schedule of the Tenant’s construction to ensure they open on or before the rental commencement date (RCD). Conduct field inspections and meetings with Tenants and building inspectors, where necessary.
• Showcase self as the TC leader for region, maintain professional and appropriate demeanor when interacting with business partners and customers (Tenants).
• Create an environment in which team members want to do their best, motivate direct reports and team members to meet and exceed the company’s expectations.
We are looking for a Vice President, Tenant Coordination with:
◦ Strong organizational and leadership skills
◦ 10+ years of experience as a Director of Construction, Sr. Project Manager, Sr. Tenant Manager, Sr. Project Architect, Sr. Project Designer and/or experience within an Architectural and/or Construction Management setting
◦ Solution oriented / good problem solver / forward planning / strong relationship builder both internally and externally.
◦ Constructs compelling development plans for direct reports, along with providing challenging and stretching assignments.
◦ Degree in Architecture, Construction Management, Project Management and/or equivalent experience
◦ Experience in retail design and/or merchandising a plus, up to date knowledge of industry trends and best practices for retail and commercial sectors
◦ Ability to impact people and results remotely, can design practices and processes which allow managing from a distance.
◦ Demonstrated proficiency in AutoCAD, Microsoft Office (Word, Excel, PowerPoint), Adobe Creative Suite (Illustrator, Photoshop, InDesign), Bluebeam/Adobe Acrobat, Project Scheduling Applications & Sketchup (or equivalent 3-D modeling)
◦ Demonstrated Experience in Revit and additional Adobe Creative Suite applications a plus
◦ Strong, demonstrated visual presentation skills including modeling, perspective sketching, graphic design and rendering (hand or computer generated)
◦ Demonstrated aptitude in strategic thinking & analysis as well as solution & change management
◦ Excellent verbal, written, visual, and negotiating communication skills and aptitude with both internal and external entities
◦ General knowledge & understanding of Mechanical, Electrical, Plumbing, HVAC, Fire Protection & Fire Alarm systems/codes as well as ADA code
◦ Organized, goal oriented, ability to develop and maintain effective relationships and works well in small and large groups
◦ Ability to work both independently and within a team structure
◦ Quick to learn and adapt to proprietary software and processes.
