The Role:
The Assistant in CAA Speakers will support two Senior Agents whose clients include a number of high-profile speakers in the fields of politics, business, technology, comedy, film and television, news, and more. In addition to heavy administrative functions, such as answering phones, scheduling meetings, and arranging travel, the responsibilities of this position will include helping the agents craft and execute firm paid-speaking offers for our clients, coordinating with other CAA agents inside and outside the Speakers department, keeping the agents up to speed on any news involving clients, and assisting the agents in directly supporting clients as needed. The ideal candidate for this position should be organized, outgoing, sociable, highly motivated, a quick-thinker, and have an interest in current events.
Responsibilities:
• Edit agreements for a high volume of confirmed speaking engagements and personal appearances.
• Assist with agreements from creation to full execution.
• Reconcile and flag any outstanding contract, money and logistics by referencing database of all working, postponed and cancelled deal so the department is aware of any changes.
• Maintain department sales database through data entry.
• Perform administrative duties which includes heavy phones, coordinating meetings and schedules, preparing expense reports, producing correspondence, travel booking/coordinating, special projects and personal assistance as needed.
• Keep the agents up to speed on any goings on involving clients.
• Remain poised and professional while interface with clients, the business and etc.
Qualifications:
• BA/BS from an accredited University or College required.
• 1-2 years of professional working experience in an administrative or project management capacity.
• Ability to anticipate needs and execute time sensitive matters in a fast-paced environment.
• Ability to multitask and prioritize efficiently.
• Ability to work well under pressure; meet tight deadlines.
• Ability to be flexible with work hours.
• Strong organizational and communication skills; written and verbal.
• Interest in keeping up with news and current events.
• Interest in Politics, Technology, Entertainment/Media, News and Brands.
• Strong attention to detail.
• Strong professional interpersonal skills, while understanding the importance of maintaining confidentiality is a must.
• Must be solutions oriented.
• Must be able to thrive in team-oriented and autonomous working environments.
• Must be comfortable interacting with high-profile agents and clients.
• Computer literate (Microsoft Outlook, Word, Excel).
