Currently we are seeking an Event Associate who will play a key role on the Economist Events team in the Americas as follows:
• Ensuring smooth execution of event logistics
• Project managing the marketing, programming & operations elements of event delivery and acting as client point of contact for custom projects
• Developing & managing vendor relationships
The Event Associate will work alongside the Event Sponsorship Manager, who manages all aspects of sponsorship activations including establishing timelines and project management protocols, trafficking marketing materials and necessary information, managing online and onsite presence, and managing sponsor VIPs.
Accountabilities
How you will contribute:
• Ensure the smooth execution of all operations related to Economist Events. This includes venue research & contracting, AV production, logistics, staffing schedules & onsite delivery
• Act as a Project Manager for custom projects, managing the marketing team, sales team and event programming team in order to keep event projects on track
• Manage vendor selection, proposing supplier options (to the Director of Operations) that ensure we are able to manage costs within budget, and managing those relationships
• Project manage systems, procedures and processes that have been developed in conjunction with the Operations Director, to ensure the department meets previously agreed upon deadlines for the programming, marketing, sales and production of as many as a dozen events in the Americas each year
• Ensure the smooth execution of event production and logistics to accomplish the goals of the Events business
• Manage the event budget, direct costs, invoicing and accounts payable process while managing freelancers on an event by event basis where necessary
• Solicit, select, negotiate and manage external vendors such as audiovisual, venue/hotel, catering, printers, photographers, temp agencies and others as necessary
• Develop and manage staffing plan and direct staff onsite while researching & recommending new venues, vendors or processes where applicable
• Manage VIPs and senior stakeholders in a courteous and professional manner
• Make recommendations to the Director of Operations for vendors, consultants, venues and other external resources needed in the execution of events
• Make recommendations on what sponsorship activations may be possible at selected venues
• Establishing project management protocols for each project tailored to needs and teams
• Manage & direct onsite staff & team members to ensure successful event delivery
• Exercising judgment on complex interpersonal/organizational relationships in social circumstances
Experience, skills and professional attributes
The ideal skills for this role:
• 3-5 years experience working in an events environment managing Events within budget, managing venues, vendors & agencies
• Excellent negotiation skills manifest in favorable contract rates & terms
• Success of project management skills, establishing and managing to deadlines
• Quality of delegate experience as reflected in debrief evaluations
• Ability to manage peers & senior members of the team to achieve project goals
• Event execution, working with sales teams and clients, event organizers, AV & logistics suppliers.
• International and current affairs, technology literacy
• Solid working knowledge of event products, production and logistics
• Comfort managing customer database software and new event technology
• Project management, working with clients, contract negotiation and budget management skills
• Proactive and able to effectively influence peers & senior stakeholders
• Ability to manage multiple projects and prioritize heavy workload
• Excellent written and oral communication skills
• Effective time management skills, reliable, results orientated, a finisher and a strong attention to detail
• Ability to fulfil flexible working hours during busy periods; ability to travel 20% of the time
• Strong collaboration skills and an understanding of department needs and objectives along with the ability to work in a fast paced environment
