Overview
HarperCollins Publishers is seeking a Sales Assistant, Special Events for our office in Moosic, PA. This role requires someone who is articulate, poised, engaged and enthusiastic, and has the strong organizational skills required to manage a multi-task work environment. Responsibilities
The Sales Assistant, Special Events will support the Supervisor with the following duties:
• Manage the Business to Business program by placing orders to completion, making sure accounts are adhering to all promotion guidelines, and keeping accounts updated on their order status. The Sales Assistant will assist in trouble shooting customer shipping, credit and return issues as needed. Monthly Sales Reporting, as well as helping to maintain our target accounts list.
• The Sales Assistant will assist the Supervisor with the Indie Next Nomination Process with various tasks as requested, including helping to collect nominations, prepare and distribute a monthly reminder, and maintaining the Indie Next database for distribution to the ABA. As needed the Sales Assistant will support the Supervisor by communicating with marketing and replying to requests for info and materials.
• The Sales Assistant will also assist the Supervisor with any Regional Trade Association Spring and Fall Tradeshow related duties as needed. Duties may include filling out registrations, and reviewing show orders, as well as assisting in special projects such as maintaining the Regional Association Guidebook, support on the Regional Holiday Catalogs and communication of the Regional Awards process. May be asked to travel to a regional tradeshow.
• The Sales Assistant will also manage the weekly compilation and distribution of Bestseller Lists to the Sales Department.
• In addition, the Assistant is responsible for assisting the Author Tour Coordinator as a backup when needed. This requires support with author tour bookstore and bookstore-related event orders, including freezing stock, maintain the author grid, gathering results and tracking orders to completion, in the US for HarperCollins Adult and Children’s divisions.
Timeliness, team spirit, a willingness to take on new tasks, to train backups in support of the on-going sales department goals and programs, as well as other programs of the publishing house, is essential. Must have a good attitude and be open to helping others when necessary. There will be a backup system put in place to cover for the assistant as needed.
It is extremely important to maintain open and positive relationships across the customer base and across the divisions of the publishing house. Participation in meetings and the ability to suggest and implement solutions to problems is required. Limited travel to the NY Office may be necessary to meet with Sales and Publicity.
Qualifications
Previous phone sales or other customer phone contact experience and excellent written and verbal communication skills is required.
A background in HarperCollins inventory, shipping and ordering systems and processes is preferred.
Computer Skills:
Working knowledge of JD Edwards
Windows, M/S Word and Excel, Outlook
TitleNet and navigations of internal and Internet tracking programs is necessary.
