Summary of Role:
The Assistant provides the full range of administrative support reporting to Pearson Online & Blended Learning's Managing Director and the Senior Leadership Team, including calendar management, travel and expenses, invoice processing and organizing key events and meetings.
Main activities / responsibilities:
• Extensive calendar management and travel arrangements, managing changing priorities and proactively finalizing the finer details of all arrangements, ensuring the Managing Director and Leadership team is fully updated at all times.
• Management of team calendars as appropriate.
• Organization of meetings and calls for the Managing Director and Leadership team in multiple time zones with external and internal stakeholders at all organizational levels (including follow up administrative tasks such as registering guests with the building, ordering refreshments and booking rooms, liaising with contacts in other locations).
• Arranging and supporting key meetings including video conferences setup, webinars, preparation of papers in advance, taking and disseminating minutes as appropriate.
• Organization of larger team events as required.
• Representing the Managing Director and Leadership team by liaising appropriately and confidentially with high profile and senior leaders and their colleagues both internally and externally.
• Maintaining and reviewing the Managing Director, Leadership team's and own email, responding to standard queries on behalf of the Managing Director and Leadership team as required.
• Preparing and editing correspondence, documents, PowerPoint presentations etc. for the Managing Director and Leadership team.
• Maintenance of the department’s organization charts
• Responsible for telephone cover, dealing with mail and packages and all aspects of ensuring smooth running of the department
• Ensuring all HR and finance cyclical matters for the VP are managed in the HR systems, to include but not limited to holiday management, invoice processing, expenses (for Managing Director and Leadership team and direct reports to Managing Director and Leadership team).
While this position does carry some flexibility to work from home on occasion, the expectation would be that it is primarily office-based in Columbia, MD.
Qualifications and experience required:
• Proven previous experience, ideally 2-5 years, in an assistant role for senior leadership position.
• Excellent organizational skills, time management and attention to detail with a passion for these skills.
• Ability to prioritize effectively.
• Proven communication and stakeholder management skills. Experience liaising with senior management and external contacts in a professional and confident manner.
• Advanced skills in Microsoft Word and PowerPoint, and Google mail.
• Intermediate to advanced skills in Microsoft Excel.
• Ability to learn and develop new IT skills as required.
• Ability to navigate the different business units, establishing networks and contacts efficiently.
• Representing the department in a professional manner at all times.
• Ability to understand the need to handle confidential and sensitive information with the utmost discretion.
• Able to work remote from the Managing Director and Leadership team, understanding the need to be flexible with working times to accommodate demanding business needs.
