Overall Job Objective:
Provide a wide range of administrative support for the Customer Service management team and department as whole.
Responsibilities and Duties:
• Sort, count and distribute all incoming orders and correspondence accordingly. Maintain awareness of incoming mail trends, keeping management apprised of any issues.
• Review and appropriately distribute all incoming email received through multiple corporate websites in a timely manner.
• Ensure all communication with internal / external customers is handled efficiently, professionally and within department and corporate guidelines.
• Support incoming and outgoing fax activity and department distribution.
• Accumulate and ensure the accuracy of statistical data from a wide variety of sources.Assimilate into daily, weekly and monthly reports.
• Support management reporting requirements on a fixed schedule as well as on an adhoc basis.
• Maintain department files, focusing on an organization strategy to aid in easy access.
• Recognize changing priorities and volumes and respond accordingly.
• Contribute to special projects that may arise, both intra and inter departmentally.
• Assist with definition, preparation and distribution of necessary department resources.
Minimum Knowledge Required:High School graduate or equivalent. Excellent verbal, written and interpersonal communication skills.
Experience ( years ):One year in related position preferable
Technology/Software Skills:Microsoft Office: MSWord, MSExcel, MSOutlook
Physical Requirements
• Might be in a stationary position for a considerable time (sitting and/or standing).
• The person in this position needs to move about inside the office to access file cabinets, office machinery, etc.
• Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
• Must be able to collaborate with colleagues via face to face, conference calls, and online meetings.
