The Sr Executive Administrative Assistant will provide exceptional support to the EVP/Chief HR Officer. Work requires broad and comprehensive experience, skill and knowledge of organization policies and practices.
Essential Duties and Responsibilities:
• Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements.
• Screens telephone calls and visitors, and resolves routine and complex inquiries
• Handles details of highly confidential and critical nature
• Collects and prepares information for use in discussions/meetings of executive staff and outside individuals
• Perform Project work both company wide and enterprise wide as special projects arise.
• Prepare correspondence, reports, presentations, and memos.
• Manage P-Card, expenses, reporting, and budget
• Within established guidelines, makes independent decisions regarding planning, organizing, and scheduling work.
• Initiate procedures and actions to ensure and improve efficiency and organization of Executive Vice President's office.
• Interact with department personnel and executive staff.
• Handle issues/questions/follow-ups for Executive Vice President's where appropriate.
• Organize and maintain office files for Executive Vice President's office.
• Coordinate flow of oral and written communications.
• Ensure appropriate telephone coverage is maintained at all times.
• Sort, prioritize, answer, organize, and distribute mail.
Job Requirements:
• 5+ years of successful administrative experience providing support to executive management required.
• High School diploma or state equivalency required.
• Proficiency with Microsoft Word, PowerPoint, Excel and Outlook required.
• Requires experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors and other dignitaries.
• Excellent verbal communication skills to include ability to effectively handle complex questions and issues independently.
• Strong interpersonal skills, business sense, and professionalism to communicate with all levels of management and staff.
• Flexible and cooperative in working on team efforts with attention to detail.
• Organization skills and ability to prioritize and take initiative to accommodate work flow.
• Professional, discreet manner in maintaining confidentiality.
• Ability to meet deadlines and handle multiple priorities.
