Administrative Assistant, Work of Art & Arista

The Administrative Assistant will oversee the day-to-day functions of executive and handle a wide range of administrative and executive support related tasks for Arista and Work of Art.
Responsibilities
Responsibilities include but are not limited to:
• Provide administrative support to executive including answering phones, maintain call sheets, coordinating meetings, maintaining executive and artist calendar, arranging conference calls, arranging travel, process invoices
• Secure drive-on passes for guests
• Keep executive organized and abreast of urgent issues.
• Prepare and submit expense reports in a timely and accurate manner
• Take notes and minutes in meetings and Deliver action items for execution
• Oversee digital execution for all artists
• Contribute and participate during label and publishing meetings
• Provide administrative support to other department members as needed
• Able to handle confidential information with a high level of professionalism and discretion
Qualifications
• 2 years administrative experience within the music industry is preferred
• Working knowledge of PhotoShop, PowerPoint, Excel, Word and Outlook
• Effective verbal and written communication
• Strong interpersonal skills that enable one to positively relate to a wide variety of industry people
• Able to handle confidential information with a high level of professionalism and discretion
• Strong technology skills including ability to work within PC and Mac programs
• Be available to work overtime and to attend occasional evening showcases as requested
