JOB SUMMARY
This position roles works closely with the Vice President, Music Production in overseeing and directing administrative duties, including budgeting, scheduling, invoicing, contract monitoring, payroll documentation and reports, handling union requirements and various other duties related to recording sessions and recording session staff for the music department.
Responsibilities to include, but not limited to:
*Negotiates rates with various vendors to minimize excessive spending and ensure budgetary compliance.
*Monitors and tracks music production costs in order to help ensure compliance with budgets.
*Oversees and/or assists with pre-recording sessions, preparation of playback tapes and tape dubs as required by production. Oversees and/or with the playback of music, songs and recordings during filming to ensure visual and audio synchronization.
*Books recording and scoring sessions with various studios
*Coordinates the schedules of artists, producers, musicians and other key personnel
*Informs studio staff of pertinent information regarding a specific film.
*Contracts studio time and equipment rental for each production and negotiates rates with various vendors in order to minimize excessive spending and to ensure budgetary compliance.
*Issues purchase orders relating to recording and scoring sessions and negotiates fees and special rates in order to stay within budget. Processes and codes all music production invoices for payment.
*Responsible for attending recording and scoring sessions, when necessary, to ensure that production needs are met and that sessions run smoothly and efficiently.
*Interacts with the Labor Relations department regarding IATSE and other union and guild requirements in order to interpret and maintain guidelines set forth in the respective collective bargaining agreements pertaining to various recording personnel.
*Assists in interpreting AFM and SAG labor agreements for music department personnel. Answers questions regarding how compensation is tailored to the studio's payroll and accounting procedures.
*Maintains precise files of recording production costs, the files contain definitive and permanent records of all music department scoring and recording expenditures.
*Prepares musician, orchestrator, and copyist payroll reports for payment by checking salary computations, accounting coding, and all other relevant information. Forwards to outside payroll company for payment, and inspects the return invoices before reimbursement is made.
*Ensures that all singers are cleared through the Screen Actors Guild before employment. Determines singers’ fees based on the type of recording done and the number of hours worked. Prepares SAG Day Player contracts and handles requests for singers to be paid through the Company payroll.
*Reviews and approves all payroll, invoices, and personnel action forms pertaining to recording sideline, rehearsal, and vocal sessions within the prescribed time limits set forth in all applicable labor agreements.
*Computes New Use fees and prepares payroll reports for musicians, orchestrators, and copyists who are to receive payment for the right to use their performances from a given commercial recording in a feature film.
*Computes reuse fees for musicians, orchestrators, copyists and singers. Provides AFM Phono and SAG/AFTRA contracts to the appropriate record companies releasing the soundtrack albums.
*Assists in receiving all materials (tape, mag, cassettes) and arranges for transport out to the transfer house or to the recording studio.
*Compiles and confirms the accuracy of credit and label copy information for the record company editorial department.
*Ensures that all music elements are at the mastering session and returned to Paramount upon completion of mastering.
*Furnishes the Contract Accounting department with the appropriate backup pertaining to recoupable conversion costs.
*Assists archive department with direction/location and questions related to music elements.
*Sole account coder of the ipayables/iworks system to process payments on behalf of legal/business affairs and clearance music departments.
*Locates, maintains and uploads any historical data lists/finding guides and information to network drives in order to have more department visibility as to where historical items can be found.
*Locates and supplies outside licensees with union contracts so performers can be properly paid when PPC music is licensed.
*Assists with script breakdown of music cues.
*Assists with music and script budgeting for motion pictures, including revisions.
*Assists colleagues who work with other PPC subsidiaries with reviewing and processing union new use contracts.
*Assists production with on-camera music needs during production shoots.
Basic Qualifications
*Minimum 5 years' previous experience in the music, production and/or motion picture industry
*Bachelor's degree in Marketing, Communications or Business preferred or, equivalent work experience
Additional Qualifications
Desired Skills:
*Knowledge of collective bargaining agreements
*Knowledge of the entertainment industry and key people in the music business
*Knowledge of PC and MAC computers
*Good organizational skills and problem-solving skills
*Good oral and written communication skills are necessary in order to interface effectively with all levels within the company, external vendors and recording companies
