Position Overview
The Facility Coordinator ensures facilities standards are maintained and meets company standards for organization, cleanliness, aesthetics and sustainable operations. The Facility Coordinator executes day-to-day facilities activities such as daily floor inspections, stocking of supplies, working with janitorial and other maintenance vendors, and performing daily set-up and breakdown of conference and training rooms used for events and meetings. The Facility Coordinator also maintains positive relationships with Landlord’s property management group and service vendors, ensuring company activities adhere to building policy.
Responsibilities
• Coordinates move activities, ensuring accurate and timely accounting of desk audits
• Develops and maintains positive working relationships with landlord and/or property management and external service vendors. Maintains knowledge of building management's policies and procedures manual and maintains building specific files
• Works with building vendors, including janitorial and maintenance staff
• Coordinates distribution of building supplies, including conference room, copy room, and kitchen supplies as well as ensures the daily stocking of same
• Ensures facilities standards are maintained, per Facilities Standards Playbook and updates playbook regularly with any changes
• Provides oversight and support to customer functions and events as necessary
• Uses BIM 360 Ops ticketing system for service, repairs & maintenance, determining the nature of the problem(s) and either completing the request or recommending appropriate solutions to customers in a timely manner. Coordinates work with outside vendors to complete requests as needed
• Responsible for timely reporting and correction of any discrepancies using BIM 360 tool
• Performs ongoing facilities maintenance inspections of public and common areas by conducting "walk-throughs" of site to ensure compliance with local health and safety regulations. Models company safety policies and participates in Emergency Response Team efforts
• Maintains professional appearance of building lobby, reception area, and food service areas. Manages Green Cleaning program through vendor relationship
• Helps with event set-ups and tear-downs of multi-purpose, conference, and training rooms as directed by Events Manager
• Maintains current knowledge base of Company products and information by reading Company news, announcements, and product brochures
• Pro-actively escalates issues that need a manager's immediate attention
• Supports Facilities Department by maintaining filing and records in accordance with organizational and/or legal requirements. Assists with departmental purchases, payment and tracking as pertains to vendors. Works with Procurement and Accounts Payable departments to ensure department bills are paid in a timely manner
Minimum Qualifications
• 3+years relevant facilities experience
• Associates degree or equivalent
• Experience with sustainably building operations,
• Technical experience with building control systems, environmental systems and audio/visual preferred
• Experience with vendor management and the implementation of the corporate safety program. Experience with computerized maintenance management systems, subcontract management, life safety management skills, energy management and the development of standardized operating procedures are a plus
• Excellent oral and written skills and proficiency with all Microsoft Office applications
• Ability to lift 50 pounds
• Valid driver’s license
