Administrative Assistant II – Corporate Communications
Provide a full range of administrative support for SVP and VP of Corporate Communications as well as overall team support for the Corporate Communications department. Detail oriented, fast working, organized, resourceful, flexible, friendly, professional and the ability to multi-task are key.
Responsibilities:
• Handle phones and manage call sheets
• Schedule meetings and maintain calendars
• Process expense reports and track department invoices
• Compile and distribute agenda for staff meetings
• Conduct internet research and analysis of media coverage
• Order office supplies and stationery
• Coordinate travel
• Book conference rooms and meeting spaces
• Maintain department shared drive files
• Track ongoing team projects with responsibilities and deadlines
• Support internal employee events
• Maintain SPE Executive Directory
• Manage back-up postings to employee intranet, mySPE and studio lot Digital Signage
• Coordinate distribution of SPE’s Lakers tickets
• Assist with distribution of materials for approval
• Assist in onboarding new department employees
• Proofread and edit materials
• Update and maintain databases and lists
• Other general administrative duties as needed (processing mail, copying, etc.)
Requirements:
• ·Bachelor’s degree is preferred
• 2 – 3 years’ experience as an administrative assistant in the entertainment field
• Excellent written and oral communication skills
• Detail oriented with exceptional organizational skills
• Professional and courteous demeanor
• Ability to multi-task and prioritize to ensure all assignments are completed accurately and in a timely manner; must be able to meet deadlines
• Flexible and autonomous with an ability to work well in an environment where needs and priorities are subject to change
• Resourceful self-starter with a team-player attitude
• Must be able to maintain discretion and confidentiality
• Common sense, dependability and excellent interpersonal skills
• Strong computer skills (Microsoft Office – Word, Excel, PowerPoint)
• Experience with public relations/corporate communications preferred
