The Role
The Booking Coordinator provides accounting services for Agents and clients. Accounting services include reviewing contracts and updating booking reports and setup payments based on due date then confirming booking ready to apply payments to. Resolve held payments missing a booking report.
Responsibilities
General responsibilities include the following:
• Coordinating booking submitted by agent’s office and collecting/reviewing contract details regarding payments due the client are listed for accounting purposes
• Communicating with Agent’s Office to obtain updates
• Updating booking report line items based details from Agent’s Office
• Attach appropriate supporting documents for booking report updates
• Verify correct commission deductions for agency and all third parties
• Verify address or wire instructions are current and payee setup per the contracts
• Investigate held checks or wires with client team to have missing booking submitted
• Review start date email for missing booking reports
• Help the assistants and agents regarding booking report submission questions
• Monthly training for new assistants on how to use the booking report system
• Respond to e-mails regarding held items or missing bookings
• Coordinate activities with the other Trust Accounting teams
• Perform other accounting tasks as requested by Supervisors and management
• Escalate collection of missing booking reports if no response in the defined timeframe
• Escalate issues, as needed, to the responsible Trust Accounting Supervisor and or Manager
• Support system and process improvement projects
• Scope: Communicate with agents, assistants, managers, attorneys, studio contacts and the trust department
Qualifications
• Bachelor’s degree required; Must have 1-2 years Accounting experience
• Strong interpersonal and communication skills
• Ability to work well with a team and represent the culture of the company
• Team player with a high level of energy, enthusiasm
• Demonstrated ability to multitask and manage conflicting priorities
• Ability to succeed in a fast paced, highly demanding, high volume, dynamic, corporate environment
• Unimpeachable integrity and can be trusted to maintain confidential information
• Must be proficient in Microsoft Office Suite
• 10-key by touch
• Typing – 45 wpm min
• Good organizational skills; able to multi-task
• Will take initiative; ask for more work if needed.
