Universal Music Group Consumer Engagement is seeking an Administrative Assistant to provide support to executives of the UMG Consumer Engagement team and general day-to-day office support. The ideal candidate is extremely organized, detail-oriented, and resourceful individual whom can calmly handle any administrative task thrown their way. This is a great role for anyone who can handle the high-paced demand of the role and is motivated to contribute to and grow with the department. Experience supporting more than one senior executive is ideal, but not required. Passion for music, entrepreneurial spirit, and the ability to keep calm under pressure are essential.
Job Functions:
Responsible for providing high-touch administrative support to UMG Consumer Engagement team’s executives as well as light office management support for the Consumer Engagement team based in New York. This will include, but is not limited to:
• Maintaining high-demand schedules and calendars
• Answering phone lines and screening calls
• Completing (sometimes complex) expense reports on a timely basis
• Arranging and managing international and domestic travel arrangements
• Scheduling meetings and conference calls for individuals and large groups
• Partnering with other assistants on interdepartmental projects and additional administrative tasks
• Act as the lead to Use information provided by executives to create PowerPoint presentations
• Assemble and distribute team communications
• Schedule, coordinate, support regular large department meetings
• Manage office supplies inventory and ordering
• Light support to operations and planning team if needed
Job Requirements:
Skills/Abilities:
• Proactive self-starter comfortable in a fast-paced and changing environments
• Exceptional attention to detail and organizational skills
• Strong ability to anticipate and solve issues independently
• Ability to be comfortable speaking to all levels of an organization
• Strong team player with excellent communication skills (verbal & written)
• Ability to manage multiple tasks
• Experience with calendar management, expense reporting and travel booking
• Highly proficient in Microsoft Office including Outlook, Excel, and PowerPoint
• Solid understanding of music/entertainment industry, sales and financial concepts
Experience:
• Minimum 1 year professional experience preferred
Education:
• Bachelor’s Degree preferred
