The Institutional Giving Coordinator provides project coordination, administrative, and technical support to the Institutional Giving team and the NPR Development program. The position reports to the Executive Director of Institutional Giving and works in collaboration with the Manager of Development Research East and the Associate Director of Database Analytics.
Essential Duties
• Provide project management and coordination to help fulfill the goals of NPR’s Institutional giving program.
• Strengthen the Institutional Prospect Managers' portfolios of prospects and donors through timely research, the moves management process, and by leading in-depth quarterly portfolio reviews with each fundraiser and the Manager of Research. Monitor industry publications frequently for news and trends on philanthropy, current funders, and to quickly identify new prospects. Follow standardized, analytical research approaches and rating systems based on best practice. Actively participate and support strategy development for donors and prospects.
• Serve as department resource in data management, including:
◦ Updating, maintaining and providing quality control for constituent records in Development’s database. Follow approved business practices to help ensure the integrity of donor and gift information in the database.
◦ Pull accurate lists from Raiser’s Edge for fundraising reporting, screenings, events, newsroom coordination, and other activities.
◦ Organize and keep accurate electronic and paper files for donors.
• Coordinate and/or support gift processing for the team and the division:
◦ Coordinate gift processing and review for all institutional foundation grants, working closely with the Legal division, gift processing team, and others as necessary.
◦ Provide critical back-up to the database team on an as-needed basis by providing full gift processing support, including booking all gifts and responding to donor inquiries. Follow approved business practices to help ensure the integrity of donor and gift information in the database.
• Coordinate, draft and/or support the production of materials for donors:
◦ Coordinate acknowledgement process and larger stewardship initiatives for NPR’s institutional donors, working with Development Resources as appropriate.
◦ Draft and edit letters, reports, proposals, LOIs and other correspondence to donors.
◦ Draft background briefings and coordinate collateral to support meetings for the Development staff, and for any individuals involved including Executive leadership, station staff, or volunteers.
• Act as the team’s liaison to the NPR Development Resources group by coordinating projects, sharing tasks, and keeping constant communication, including for cultivation and stewardship events. Support the Special Events team during department-wide cultivation and stewardship events.
• Provide administrative support to the Institutional Giving team including calendar and travel management; deadlines and meeting support; and logistics, file and supply management.
• Provide coordinating support for the division’s interns and other staff onboarding processes, including interviews, orientation schedules, and general administrative or knowledge coordination.
• Other duties as assigned.
Required Skills and Experience
Education: Bachelor’s degree or an equivalent combination of education and experience is required.
Required Skills:
• Minimum of two years of related work experience, preferably in development.
• Ability to manage multiple assignments, set priorities and meet short deadlines.
• Must possess good judgment and exercise diplomacy in dealing with a variety of constituents.
• Strong writing, proofreading and editing skills. Attention to detail is essential.
• Ability to interact professionally with funders, trustees, and senior staff with poise and discretion.
• Strong interpersonal and communication skills, including an excellent telephone manner.
• Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of NPR, as well as the technology tools available to the Development Office, including the fundraising database system, Raisers Edge, as well as Microsoft Outlook, Word, Excel, and PowerPoint.
• Strong personal work ethic, collaborative, and results-oriented; combined with a sense of humor and perspective.
• Must understand and appreciate NPR’s mission.
