Who we are
The world's leading full service entertainment, media, and sports agency is seeking an Executive Assistant responsible for supporting the Chief Human Resources Officer (“CHRO”).
The Role
The Executive Assistant will perform all administrative tasks on behalf of the executive office including, but not limited to, extensive scheduling, rolling calls, travel coordination, senior candidate management, and office management. The Executive Assistant will be responsible for managing the calendar, coordinating meetings and providing general administrative support.
The CHRO is an entrepreneurial executive who provides strategic leadership that builds upon the agency’s renowned culture of collaboration, excellence, and client service, and also crafts state-of-the-art approaches to empower, develop, and inspire employees across the company.
Responsibilities
• Provide administrative and high-level support to Chief HR Officer.
• Bring a focused, steady and calming sense of administrative and operational expertise with the ability to act gracefully under pressure.
• Manage and maintain CHRO’s dynamic calendar, regular schedule and appointments.
• Coordinate meetings and proactively administer meeting planning and meeting preparation.
• Extremely diligent with follow-up action items administration and seeing items through completion.
• Manage communications with internal senior level executives and external customers and clients.
• Provide presentation support including creation of materials where needed, confirming technical requirements, printing, projecting and displays, distributing materials accordingly.
• Compile reports using Excel and provide support on special projects using MS Office suite or Workday.
• Evaluate and maintain pertinent files, databases and other records.
• Additional high-level executive assistant duties including maintaining calendars on multiple time-zones, phones and phone sheet, filtering and prioritizing incoming requests, email correspondence, and travel with detailed itineraries.
• Efficient and timely processing of Travel & Expense reports and invoices.
• Maintain utmost confidentiality with employee information and records.
• Maintain efficient flow of information. Streamline office/administrative set-up; create time-saving measures and being quick to respond to requests and is completely dependable on follow-through.
• Ad hoc responsibilities including client services and special projects for the department as needed for a very fast paced and demanding work environment.
• Must be very personable, approachable, and have a high level of professionalism.
Qualifications
• Bachelor’s Degree required.
• At least 7 years of Administrative Assistant experience in a fast paced, global company.
• Excellent interpersonal, verbal and written communication skills are required.
• Strong command of the Microsoft Office suite and in particular Word, Excel & PowerPoint.
• Attention to detail and strong organization skills are a must.
• Prompt, reliable, dependable.
• Highly organized and efficient; able to manage multiple projects/ tasks simultaneously and have the ability to meet tight deadlines, maintain a sharp focus while managing competing priorities and expectations.
• Ability to succeed in a fast paced, highly demanding, high volume, dynamic corporate environment while understanding the importance of maintaining confidentiality.
• Strong work ethic with high interest in Human Resources.
