Overview
This position is responsible for assisting the General Affairs work process related to maintaining the overall appearance, functionality, and facilities under his or her responsibility. The position will support the overall goal of maintaining a neat, clean, and comfortable work environment with minimal disruption due to facility-related issues. The candidate will exhibit considerable knowledge of company policies, practices, and organization; and the use of good judgment and discretion as well as independent action.
Responsibilities
• Demonstrates effective task and time management planning when prioritizing daily/weekly work and scheduling vendor services. Utilizes daily work log to list daily status of activities to completion.
• Follows established location-specific procedures for receiving and expediting staff service requests, anticipating and fulfilling staff needs via the Help Desk and an internal facility mailbox.
• Prepares vacated workspaces for occupation, anticipate needs and consult with the Sr. Manager of General Affairs and IT.
• Performs general facility maintenance (plumbing, electrical, etc); inventories, anticipates, and requisitions; replenish supplies and stock required for continuity of daily operations.
• As directed by the General Affairs Supervisor, assists in the preparation of requests for proposals for service vendors and other documentation necessary to establish and maintain vendor services at the office.
• Always responds to customers, vendors, and fellow employees in a professional and courteous manner in carrying out his/her assigned duties.
• Checks primary conference rooms, leased space, and common areas weekly; and inspects facilities informally for carpet stains, marks on walls that need touch-up, damaged or stained ceiling tiles, bent or broken window blinds, etc.
• Inspects a portion of each facility each day, so that the entire property, exterior and interior, is inspected on a regular basis, and document using the Facility Inspection Checklist.
• Interacts with all property managers across the Western Region with regard to facility related issues.
• Compiles cost reports for repair work and services on a weekly basis
• Maintains all HVAC and janitorial contracts and reviews for extensions and of cancellations of service
• Shipping and receiving of incoming and outgoing mail and packages
• Reconcile and code all invoices for payments
• Process Purchase Requisitions
• Process vehicle registrations and insurance certificates
• Issue Security Access Cards, maintain Security Database and develop Security Reports
• Process and work with the Insurance company for all outdated Certificates Of Insurances (COIs)
• Maintain cost spreadsheets and control
• Other duties as assigned.
Lifting weight increased to 75 lbs.
Qualifications
• High school diploma or equivalent
• 3 years of maintenance and/or facilities management work experience or related work.
• Two years of college or technical school preferred; trade certification preferred
• Ability to communicate effectively and maintain cooperative relationships with all levels of staff and vendors required
• Must have basic knowledge of carpentry, HVAC, plumbing and general building repairs
• Must have the ability to use hand tools and instruments to perform a broad range of repairs and tasks, follow written and verbal instructions, and plan and track projects.
• Must have a valid driver’s license with a good driving record
• Must have work experience using an email program and Microsoft Excel, Word, and PowerPoint
• Selected candidate should be service/task oriented with ability to take initiative; able to work under minimal supervision
• Ability to work under pressure; to meet established and/or unplanned deadlines
• Must have the ability to lift 50lbs on a regular basis throughout the day
