JOB DESCRIPTION
The Senior Financial Coordinator will provide administrative support to National Geographic’s publishing and licensing divisions. Specifically, the Coordinator will assist the Budget Manager by auditing travel expenses, collecting on outstanding balances, organizing and administering the Vendor Onboarding process for independent contractors, processing payment requisitions, researching costs, and maintaining financial records. The Coordinator will also work closely with the operations teams, providing resources needed to complete daily tasks.
Responsibilities:
• Submit and track travel advances, expense reports and reimbursement requests from independent contractors.
• Conduct standard T&E audits per NGP travel policy and Expense Guidelines, ensuring adherence to IRS T&E regulations.
• Garner and retain precise documentation for internal and external audit.
• Monitor T&E activity and maintain a schedule of submission deadlines to ensure either processing or accrual of all story-related travel costs in advance of publication date.
• Generate monthly assignment cost reports and collect on any outstanding account balances. Coordinate with department business managers in pursuing delinquent accounts.
• Enter payment requisitions and process field expenses under the direction of the Budget Manager.
• Research A/P queries and successfully maneuver Workday, gathering accounting information as requested.
• Maintain electronic financial records in multiple databases, organizing, reviewing and managing per company retention policy.
• Assist with vendor onboarding when necessary.
• Assist the Budget Manager with updating freight, supply and special equipment accounts to ensure that editorial employees have necessary materials for performance and execution.
• Maintain inventory for publishing and licensing group.
• Complete special equipment purchases as necessary and track CapEx budgets for publishing group.
• Research and provide expense data for monthly queries, budget updates, and audit and advisory requests.
• Maintain effective and professional communication with independent contractors.
• Provide ad hoc reports and any other general admin support to the team as needed.
Qualifications:
• Bachelor’s degree in business, finance, or related field of study; minimum 1-3 years experience
• Proficiency in a second language a plus.
• Strong oral and written communication skills, and ability to work with various levels of management.
• Must have great attention to detail and accuracy.
• Must be highly organized and discrete.
• Must be familiar with Microsoft Office (including Word and Excel); knowledge of Filemaker and Workday a plus
• Experience with expense tracking programs such as Expensify, Concur, or Neat Receipts a plus.
• Inventory experience a plus.
