Informa’s Global Health & Nutrition Network (GHNN) and New Hope Network team is seeking an Administrative Assistant to work in our Boulder office. Enjoy a dog friendly office with an onsite fitness center, full kitchen, bicycles to take out on your break and a collaborative group of coworkers!
This position is responsible for supporting the Senior Vice Presidents of events, content and data & insights, respectively, within GHNN.
Duties and Responsibilities:
• Manage calendar and meeting agenda.
• Planning and booking travel for SVPs and prepare itineraries.
• Manage, facilitate and/or support various projects.
• Proactively keep busy executives on track with daily calendar liaison between departments and all other departments and divisions within the organization.
• Able to react to change productively and handle other essential tasks as assigned as well as an excellent opportunity for the right individual to learn the business from the ground up, while pursuing long-term career opportunities within Informa.
• Screen calls, take messages, and handle routine return calls (e.g. confirming meetings, making appointments, etc.)
• Preparing and distributing correspondence when needed.
• Errands related to business (e.g., office supplies, preparation of onsite events).
• Prepare for meetings as requested, in the office, for client presentation meetings and at company events and other requests as needed. Preparation includes ordering food and beverage, coordinating venues and audio visual as needed.
• Assist SVPs in creating and maintaining spreadsheets and cloud based software related to the budgeting process.
• Formatting and preparation of presentations.
• Track and submit expense reports for SVPs monthly and as requested.
• Travel to one or two shows per year to assist various departments and coordinate event activities, as needed.
Position Qualifications:
• Ability to manage multiple tasks.
• Must be able to follow directions, work well under pressure, meet deadlines and remain calm while dealing with difficult situations and/or individuals.
• Ideal candidate will dig in and get involved in busy executives’ projects.
• Top candidates will excel in process improvement and organization.
• Must be a strong problem solver and prosses the ability to effectively communicate across all levels of Informa personnel as well as with business partners, customers, and vendors.
• Must have strong attention to detail and a willingness to become involved in the business.
• Must be open to performing responsibilities that span from high level project management, to more mundane daily administrative tasks.
• Expert proficiency in Office 365, including Excel, Word, and PowerPoint and be willing to learn other software programs as needed.
• Minimum of 3-5 years of an administrative capacity supporting a President or Vice President.
• College degree preferred.
• Excellent interpersonal skills.
• Superior service ethic and grace under pressure
• Outstanding organizational skills, excellent time management and judgment, and the ability to manage complex operations in a fast-paced environment.
• Entrepreneurial spirit, track record of initiative, high quality and service standard, and ownership of work.
