To assist the Vice President of Advertising in ensuring the optimal effectiveness of The East Coast of Florida, contributing to the smooth management of all functions related to the office and its many stakeholders, internally and externally. This is a critical position that represents the Vice President of Advertising as well as the USA TODAY Network across the East Coast of Florida. The ideal individual thrives in a fast-paced complex environment requiring creativity and initiative, and is self-motivated and self-directed.
In this role, responsibilities include:
1. Administrative:Organizes, compiles, analyzes and manages large volumes of confidential materials, including financial and personnel records, expense accounts, correspondence, annual reviews and compensation data. Includes the gathering of regular reports from numerous sources including Operating Committee members and others. The vast majority of the content is electronic but paper copies continue to need attention as well. Effectively handles interactions and communications with all stakeholders on behalf of the Vice President of Advertising across every platform and situation.
2.Scheduling:
Maintains updated calendar to meet Vice President’s needs, both immediate and long term; balances time allocation appropriately; helps keep daily schedule on track; communicates changes to affected parties; arranges travel details for VP and other executives as needed; plans and sets up major meetings including logistics and programming.
3.Research and presentations: Assists in gathering, synthesizing and editing information, regular employee forums; management team meetings; client calls; and other speaking engagements or planning sessions. High degree of knowledge and comfort with suite of Office applications: Excel, Powerpoint, Word, etc.
4.Customer Contact:Professionally and positively represents the company in interaction with the public. Resolves inquiries independently, connecting with appropriate departments.Helps identify and resolve systematic issues and works closely with the affected parties to help resolve them. Keeps Vice President of Advertising apprised of critical situations that need attention.
5.Virtual communication: Skilled in both tone and technology for the numerous interactions that take place virtually throughout Gannett. Versed in use of SharePoint, webinars, and other virtual communication tools.
6.Special Projects:Independently completes special projects as assigned, including helping shape presentations and plans, helping create and lead employee initiatives, and coordinating others’ involvement when appropriate.
7.Community Representation/Outreach: Assists in company representation with nonprofits and with community functions. Opportunity to engage with area organizations and executing corporate sponsorships.
Here’s what you need:
• Bachelor’s degree or commensurate years of experience within field
• Prefer a minimum of 3 to 5 years’ executive assistant experience
• Exceptionally high standards and self-confidence with a desire to do great work while functioning in a multitasking, fast paced, deadline-driven environment.
• Project management experience preferred
• Strong MS Office skills including Outlook, Word, Excel and Power Point.
• Strategic and critical thinker comfortable with making recommendations and the ability to solve problems. Independent, Self Starter
• Excellent organization and time management skills, coupled with outstanding written and oral communication skills; strong proofreading and editing skills are required
