The Role
CAA is currently seeking a Trust Accounting Senior Associate to join our New York office. The position will be responsible for our Theater, Book Publishing, and Commercial Endorsement business segments. Responsibilities will include analyzing contractual payments, royalty statements, accounts receivable, including follow-up on client monies/outstanding invoices, data entry, and billing. The position will report to the Senior Manager of Client Trust Accounting located in our Los Angeles headquarters.
Responsibilities
• Manage the accounts receivable process for the Theatre, Book Publishing, and NY Commercial Endorsements Departments
• Ensure cash, checks and credit card receipts are properly applied, and update corresponding booking reports
• Ensure all trust accounting transactions are handled according to company policy
• Review contracts and bookings reports to ensure accurate information is inputted into the accounting system, including allocation of payments among entitled stakeholders (e.g. subsidiary rights dispositions)
• Review, process, and analyze incoming royalty statements from publishers, theatres, or other performance venues and organizations
• Own communication with NY based agents, assistants, managers, attorneys, and buyers
• Support agents and agents’ assistants on booking report submission questions, and act as the NY face of the Accounting and Finance department
• Conduct monthly training for new agents’ assistants, including familiarizing them with trust accounting functions, as well as how to submit bookings
• Perform accurate monthly billing adjustments, and manage the handling of billing questions and discrepancies
• Identify and collect on past due balances while maintaining positive relationships with all stakeholders
• Investigate held checks or wires with the client’s team to submit missing bookings
• Collaborate with stakeholders to resolve all cash receipts that have insufficient information or do not match the booking
• Attach back-up documents to payment lines
• Attach wire instructions to booking report payment lines
• Correct misapplied receipts by carrying out necessary process, such as refunds or transferring funds
• Manage batching and uploading of checks into accounting system
• Maintain CAA’s standard of white glove service when handling agent/client emails, cash receipts, processing corrections, reissues, or payment confirmations
• Support special projects, company initiatives, and system and process improvement initiatives as needed
• Perform other accounting tasks as requested by Supervisors and management
Qualifications
• Bachelor’s degree required
• Minimum 3-5 years Accounting experience
• Strong understanding of Royalty/Profit participation accounting experience
• Strong interpersonal and communication skills
• Interest in and knowledge of the Theatre and/or Publishing industry a plus
• Ability to work well independently and as part of a team
• Team player with a high level of energy, enthusiasm
• Demonstrated ability to multitask and manage conflicting priorities
• Ability to succeed in a fast paced, highly demanding, high volume, dynamic, corporate environment
• Unimpeachable integrity and can be trusted to maintain confidential information
• Excellent organizational, critical thinking, and problem solving skills; able to multi-task
