JOB DESCRIPTION
The Systems Help Coordinator’s primary responsibilities are managing the Help Desk administrators’ work; Help Desk administration work, as required; technical problem determination. Secondary responsibilities include purchasing process support.
The Systems department staff contributes their expertise to a wide range of maintenance, integration, optimization, and problem resolution tasks. The Help Desk Coordinator reports to the Head of Systems and works closely with the Technical Coordinator and the Systems department administration and engineering staff on daily tasks, project assignments and priorities.
Primary Responsibilities
• Help desk ticket assignment, prioritization and escalation. Experience with Jira and Confluence is a plus.
• Onboarding and termination processes.
• Remote support for contractors.
• Documenting requirements and specifications for new technology.
• Documenting and maintaining standards based on departments and job requirements.
• Maintaining physical inventories for hardware, software, and consumables.
• Coordinating and tracking installation, repairs, and end-of-life hardware processing.
• Managing repairs and end-of-life processing for hardware.
• Managing the shipment of backup tapes to secure off-site tape storage, and updating the monthly tape backup report.
• Maintaining staging and inventory areas, ensuring that they are clean and orderly.
• Communicating status to the production floor. Publishing and updating documentation and policies.
• Collecting data for weekly and monthly reports.
• Other projects, and duties as may be required or assigned.
• Serve as a representative of Blue Sky Studios, displaying courtesy, tact, consideration, and discretion in all interactions with Studio staff and vendors.
Secondary Responsibilities
• Backup for the Technical Coordinator, including purchasing, project management, and reporting.
Qualifications
Technologies
Experience with Help Desk support, and/or a working knowledge of, some or all of the technologies listed below.
• Hardware and software support for one or more of the Studio’s workstation, laptop and mobile platforms:
◦ Linux CentOS/Red Hat
◦ macOS
◦ Windows
◦ iOS and Android
• Directory services, including Active Directory, DNS, and DHCP. Experience with NIS is a plus.
• Basic email administration, including email list servers. Experience with G Suite is a plus.
• Database inventory systems and document management systems. Experience with Atlassian Jira and Confluence is a plus.
• Network storage support, including CIFS and NFS administration.
• Network cabling and patch management. Experience with basic network switch administration is a plus.
• Experience managing complex technology projects.
• Experience with database inventory systems.
• Expertise with Microsoft Office applications.
Skills and Abilities
• Strong attention to detail and organizational skills including the ability to manage multiple projects.
• Accurately convey ticket and project status.
• Demonstrable troubleshooting and problem resolutions skills.
• The technical aptitude (indicated on resume and supported by technical references) to deliver comprehensive technical support in a production environment.
• Ability to relate to and communicate with all levels of employees.
• Thorough record keeping and documentation skills, including technical documentation of processes; documenting code; inventory, project, task, and time tracking.
• Excellent verbal and written communication skills. The ability to communicate effectively and accurately with management, systems administration team members, customers and vendors is a core job responsibility.
• A proven track record for managing multiple projects, priorities and tasks.
• Process oriented, but flexible around business needs.
• Serve as a representative of Blue Sky Studios, displaying courtesy, tact, consideration, teamwork and discretion in all interactions with other members of the Studio.
Education
• College degree with a focus on technology, or commensurate experience in a university or business environment.
• 1-3 years or the equivalent experience in a position that required self-directed coordination work, accurate data entry and reporting
Working Conditions and Environment/Physical Demands
• The Systems department provides 24/7 support for some production critical systems. Flexible working hours are required, including occasional early mornings, late evenings and weekends.
• Some systems maintenance is scheduled for early morning, evening or weekend hours.
• Walking, bending, sitting and lifting up to 50lbs is required on a regular basis.
