Description
Ghislaine ViƱas is looking for a new office manager. This position is full time, requires three years experience in a management position in interior design or architecture. We are looking for an ambitious, positive, highly organized person to join our team. Applicants should be great at multitasking but also detail oriented, have a strong grasp of design software and be very comfortable with fiscal aspects of running a business.
Key Responsibilities
Business Development
* Participates in all aspects of business development.
* Maintains secure billing system and strategies.
* Reviews monthly P&L
* Consider the smartest and most cost efficient way forward and routinely evaluates our current options (vendors, processes, etc.)
* Advanced time management and analytical skills
General Day to Day
* Answers the phone and direct calls. Check voicemail.
* Prepares and sets up for client meetings in the office.
* Purchases snacks and drinks for the office.
* Opens mail and distribute to designers.
* Organizes staff meetings and events.
* Orders office supplies as needed / requested.
* Files paperwork.
* Sets up and distributes time sheets, records hours, and reviews client invoices with Principal.
* Deposits checks at the bank.
* Pays office rent and bills.
* Oversees office cleaning - ensure office is presentable and client-ready at all times
* Assist with special projects and presentations, as required
* Able to assist with technical needs of office/employees
* Able to assist with IT needs, help resolve IT issues, provide tech support and/or be able to engage the proper vendors to resolve in a timely manner
Human Resources
* Tracks employee attendance, vacation requests, and health insurance.
* Sets up new employees with proper paperwork and ensure they understand office procedures and company handbook.
* Oversee and train interns
* Maintains job postings and potential new hires.
Software knowledge requirements:
Studio Designer, iWork suite, Asana, Slack, Microsoft Office suite, Adobe suite and Quickbooks a plus
