The Payroll Tax Specialist is responsible for assisting the Payroll team with the federal and state tax process for multiple payrolls in a fast moving, complex payroll environment. This position will be monitoring payroll tax payments and filings for multiple FEINs covering multiple states, handling payroll tax questions and research, as well as completing any other tasks necessary for monitoring and overseeing the company's payroll tax process.
Responsibilities:
• Research and resolve state and federal tax notices and issues
• Assist with quarter and year closing tasks
• Reconcile W-2’s to 940/941’s on a quarterly and annual basis
• Assists in the resolution of taxation discrepancies by collecting and analyzing information. Responds to state tax notices as needed. This includes effectively communicating cross functionally with other departments within the organization as necessary.
• Conducts and assists with state specific, local, and federal research in regards to payroll tax law. This requires gathering data and maintaining information.
• Acts as a liaison to team members—interacts and supplies information to other departments within the organization on a regular basis.
• Updates ADP Smart Compliance and Workday as needed.
• Assists with client FUTA/SUTA audits and client termination audits.
• Updates client state tax accounts as needed.
• Gathers required data and assists with completion of Workers’ Compensation audits for clients.
• Scans, files, and organizes documents and files.
• Completes special projects by clarifying project objective, setting timetables, and schedules, conducting research, and developing and organizing information.
• Maintains client confidence and protects operations by keeping information confidential.
• Provides general administrative support such as preparing correspondence, the completion of forms, generating reports, processing confidential documents, electronic filing, and tracking deadlines.
• Generally assists the payroll department as needed.
• Assists with the day-to-day efficient operations of the Tax Department.
• Assists with setting up payroll for new payroll acquisitions.
• Assisting with quarterly tax fillings & wage detail reporting (multi-state, federal & local)
• Researching state registration and filing requirements
• Implementing new states on tax service and updating system data
• Reviewing and responding to tax notices received
• IRS & multi-state agency communication
Job Requirements:
• Bachelor's degree in Business, Tax, Accounting, or Finance with 3-5 years of relevant payroll tax experience preferred
• Thorough understanding of current payroll tax laws and regulations, including multi-state and local experience
• Experience with multi-state payroll tax filings
• Experience with payroll tax software platforms a plus (ADP)
• Minimum of 1-year experience in payroll tax experience preferred
• Experience with online data transmittal, including but not limited to payments, census data, and reports
• Must be able to clearly communicate orally and in writing in a professional manner when dealing with clients, tax agencies, and internal employees
• Attentiveness to detail and ability to handle detail work in a timely and accurate fashion.
• Must be able to work within a fast moving, complex payroll environment
• Ability to multi-task and prioritize.
• Strong work ethic, team player, high degree of professionalism.
• Proficiency in ADP, Workday Payroll and MS Office (advanced Excel) highly preferred
